DISTINGUISHING FEATURES OF THE CLASS: The work involves performing advanced and responsible
entry level administrative duties for the Department of Plastic and Reconstructive Surgery at the Erie County Medical Center Corporation. The work is performed under the general supervision of an administrative employee of higher rank in accordance with established procedures and with leeway for independent judgment and action. Supervision, either partial or full, is exercised over a number of clerical or other sub-professional employees. Does related work as required.
TYPICAL WORK ACTIVITIES:
Reviews daily surgical schedule prior to surgery date to ensure that all documentation, clearances and testing is complete and available for the operative team;
Maintains surgical calendar, ensuring patient information sticker is placed on calendar in appropriate space;
Completes and inputs paper surgical procedure reservation forms into electronic data base to ensure appropriate number of cases are booked;
Schedules surgical cases with surgical scheduling office;
Documents diagnosis and procedural codes for prior authorizations required for procedures;
Obtains all tests results after pre-admission testing (PAT) appointments for review by nursing staff and/or providers;
Notifies surgeons directly of any changes to surgical schedule;
Schedules and arranges PAT, medical and cardiac clearance appointments for patients;
Notifies patients of date and time of appointments;
Arranges pre-operative labs and imaging required for procedures for prisoners and VA patients to be completed at respective facilities;
Collaborates with patient service representative to ensure patients are on the daily clinic schedule for PAT appointment;
Ensures that medical clearance documentation is received and available for PAT appointment;
Scans forms, history and physicals, consents, outside labs and imaging related to patient surgery into electronic data system;
Maintains a flow sheet for each patient procedure to allow for continuity of patient care in absence of surgical scheduler.
DISTINGUISHING FEATURES OF THE CLASS: Through knowledge of office terminology, procedures, equipment and Microsoft applications; thorough knowledge of business arithmetic and English; good knowledge of medical terminology; good knowledge of operating room procedures, terminology and clerical procedures, records and reports; working knowledge of sound personnel practices and procedures; ability to plan and supervise the work of others; ability to communicate effectively, both orally and in writing; ability to establish and maintain effective working relationships with a diverse constituency; ability to utilize a variety of electronic software applications; sound professional judgment; capable of performing the essential functions of the position with or without reasonable accommodation.
MINIMUM QUALIFICATIONS:
A) Possession of an Associate’s Degree in Business, Office Management, Secretarial Science or closely related field or a health-related field and two (2) years of clerical experience in a surgical, operating room, oncology or plastic surgery medical office setting; or:
B) Graduation from high school or possession of a high school equivalency diploma and four (4) years of clerical experience, of which two (2) years were in a surgical, operating room, oncology or plastic surgery medical office setting; or:
C) An equivalent combination of training and experience as defined by the limits of (A) and (B).
