General Purpose
The Department of Food, Agricultural and Resource Economics (FARE) within the Ontario Agricultural College consists of 12 faculty, 4 Professors Emeritus, 1 Adjunct Faculty, 4 support staff (administrative, graduate and academic program assistants, and staffing support clerk), 38+ graduate students, and approximately 20+temporary full-time and part-time research assistants.
Duties and Responsibilities
Reporting to the Administrative Officer, the Academic Program Assistant is an integral part of the Administrative team in the department and will work with the team to maintain a high level of service to our faculty, staff and students. The incumbent is vital to the everyday operation and the long-term maintenance of all services provided by the unit, as well as supporting the Undergraduate Program Coordinator and department faculty in relation to Undergraduate students. It is expected that the incumbent be well-versed in all Undergraduate student matters, appropriate university policies and procedures and any collective agreements relating to Undergraduate students in order to maintain the academic standards and integrity of all FARE Undergraduate programs.
The Academic Program Assistant coordinates the semesterly teaching schedule with the Chair and the Office of Registrarial Services, manages course enrolment, course outlines, course evaluations, co-op work reports submission records, final grades submissions, calendar changes, events coordination (e.g., student recruitment), ccommunication (e.g., creates posters, advertisements and promotional materials in support of unit events, maintains and updates unit’s social media accounts), filing (paper and digital) and liaison material. He/she also ensures the appropriate communication lines exist for information sharing between the Registrar, Undergraduate Services, the Dean’s Office, and students.
The Academic Program Assistant is cross-trained on the key tasks and responsibilities of the Administrative Officer to the Chair to ensure efficiency and effectiveness of the unit during absences or periods with competing priorities. Together, the two positions respond to issues and develop solutions as needed to ensure the smooth operation of the department.
Requirements
- Two-year Community College diploma in Office Administration, Business Administration or equivalent
- Minimum of one year of related experience, or an equivalent combination of education and experience.
- Candidates must demonstrate: initiative; attention to detail, dependability and strong organizational skills
- Working knowledge of email, Microsoft Office software (Word, Excel), and Adobe Acrobat Pro
- The ability to work effectively both independently and as a member of a team; strong written and oral communication skills and the ability to prioritize tasks.
- Experience working in an academic department, proficiency with Courselink, Webadvisor, and course evaluation systems, along with a working knowledge of undergraduate academic programs and applicable academic administrative policies, would be considered assets.
