The ERP Training & Documentation Specialist is responsible for designing, developing, and delivering comprehensive training and communications materials to support the ERP systems transformation across the University System of New Hampshire (USNH). This role ensures end users understand system functionality, business processes, and policies, while promoting operational efficiencies and system adoption. The specialist collaborates with subject matter experts (SMEs), stakeholders and system implementation partners to develop effective training and communications materials and manage all aspects of training logistics and delivery.

Duties/Responsibilities

Instructional Design & Training Delivery – 40%

  • Design, develop, and deliver ERP training courses and materials, including classroom, online, self-directed, instructor-led (ILT), and video-on-demand courses.

  • Create course content that integrates system functionality with business processes and policy, including train-the-trainer programs to ensure cross-training objectives are met.

  • Develop and produce supporting documentation, including training plans, end-user manuals, reference guides, surveys, news articles, reports, and email communications.

  • Translate complex ERP topics into clear, actionable information for the intended audience.

  • Conduct post-training analysis to evaluate effectiveness, identify areas for improvement, and update materials as needed.

Collaboration & Stakeholder Management – 30%

  • Collaborate with SMEs and key stakeholders to ensure training content and communications align with USNH policies and foster operational efficiencies across the user community.

  • Build and maintain productive relationships with staff, SMEs, and stakeholders to increase system adoption and gather feedback for process enhancements.

  • Lead and facilitate discussions and meetings to support training initiatives and knowledge sharing.

  • Contribute to the planning and execution of the overall training program, coordinating with internal and external stakeholders.

  • Plan and manage all training logistics, including scheduling, LMS management, rooms, trainers, and materials.

  • Support the ERP governance structure through administrative assistance, meeting coordination, and facilitation.

Knowledge & Content Management – 30%

  • Populate, organize, maintain, and update a centralized content repository for all training materials and documentation, ensuring accuracy and accessibility.

  • Develop and maintain standardized templates, guidelines, and best practices for creating and updating training content.

  • Ensure all documentation reflects current ERP functionality, business processes, and policy changes.

  • Monitor usage and gather feedback to continuously improve the quality, relevance, and usability of training resources.

  • Develop and maintain websites, create, edit, and publish clear, audience-centered communication materials, including executive updates, project newsletters, FAQs, and web content, to support project objectives and stakeholder engagement.

Minimum Acceptable Education & Experience:

  • Bachelor’s degree, or any combination of education, training, and documentation experience, and at least 5 years of experience in ERP system development (Workday or similar) in higher education, consulting, training, or ERP related functional areas such as HR, Finance and student administration business functions.

Required Knowledge, Skills & Abilities:

  • Proven ability to design, develop, deliver, and maintain engaging training content in multiple formats (classroom, online, self-directed, video) for learners of all skill levels, , with the ability to translate complex technical concepts into clear, actionable, and accessible information.

  • Strong ability to quickly learn new systems and translate complex technical concepts into clear, engaging, and audience-appropriate learning materials.

  • Proficiency with streaming audio/video tools and platforms (e.g., Camtasia, Studio, Kaltura) and competency with basic HTML and image editing software (e.g., Adobe Creative Cloud, Photoshop, Snagit).

  • Proficiency with productivity software including Microsoft Word, Outlook, Excel, Visio, and PowerPoint.

  • Strong planning, organizational, and project management skills to meet deadlines and manage multiple priorities effectively.

  • Demonstrated aptitude for fostering change, overcoming resistance, and promoting organizational objectives within a dynamic user community.
