ABOUT THE ROLE
Are you an organisational powerhouse who thrives in a dynamic and high-profile environment? Do you love being the go-to person who makes things happen? This is your chance to step into an influential role supporting the Executive General Manager for the Customer, Commercial and Technology function, one of the largest departments at the AFL. Your exec has extensive experience working with EAs as a critical partner in the business and brings a belief of the value of the role of an EA to the partnership you will embark on – and high expectations about what you can deliver together.
We are looking for a proactive, resourceful Executive Assistant who can think on the fly, manage multiple priorities and meet strict deadlines at the highest levels of our organisation to join our high performing team.
Two days won’t be the same! The portfolio includes the sales, marketing, technology and content and digital side of the business, so you could be liaising with the EA of the CEO of a major ASX listed business, one of our music partners, a marketing agency, an AFL club CEO or one of the hundreds of team members. On any day you will providing administrative and organisational support to the business, including:
- Diary, email & file management. This can’t be underestimated – the diary involves a large number of internal and external stakeholders and is full every day. Staying across the inbox as well as the outbox is incredibly important.
- Managing confidential enquiries, ticketing requests for VIPs and partners, and screening visitors.
- Coordinating extensive and frequent travel arrangements and organising meetings and events.
- Preparing and distributing executive papers, presentations, and meeting agendas including Commission papers.
- Tracking actions to ensure timely completion of assigned tasks.
- Handling routine account payments and reconciliations and monitoring budgets, analysing transactions, and keeping administration costs low.
- Developing and maintaining strong working relationships with key stakeholders across leadership teams, and the EA community.
- Contributing to key projects within and outside of core role.
- Supporting and contributing to the success of the broader team.
This is a great role if you are proactive, have supported a Senior Executive, C-Suite or similar stakeholders in complex organisations before and have;
- A proven ability to take on true executive assistant-style challenges and tasks, involving quick thinking, problem solving and influencing both internally and externally
- Strong organisational skills and can manage competing demands and changing priorities within stringent timelines
- Awareness and can handle highly sensitive information with confidentiality and discretion
- Highly developed communication (written and verbal) and interpersonal skills and advanced multi-channel digital tooling skills – excellent and mandatory Microsoft Office, Teams, WhatsApp skills and some experience in a sales CRM system is not necessary, but desirable. Use of project management tools and Miro boards is also valuable but not mandatory.
- The ability to recognise where processes can be improved and takes the initiative to improve them
- Cultural competence is desired
