About the role:

As a Group Administration Assistant with our Risk Advisory Services division, you will be an integral part of the day-to-day administration tasks.

This is a great opportunity for someone who is looking for school hours work or flexibility with hours/days.

Key Responsibilities:

  • Proposal/tender support e.g. preparing and formatting tender documents, creating diagrams, etc.
  • Scheduling meetings and minute taking – Manager/Partner meetings, staff scheduling meetings, team meetings, etc.  Prepare action tracking minutes.
  • Billing system – prepare bills, creates new client profiles, input hourly charge rates
  • Prepare and manage client vendor set up e.g. vendor set up forms, annual updates
  • Process partner expenses
  • Supporting onboarding of new team members e.g. buddies, IT coordination, training new staff on applications (key systems)
  • Facilitate completion and collation of police clearances for the team
  • Support set up and conduct of RAS specific marketing events
  • Customer Relationship Management (CRM) system - Entry of opportunity/contact entries, monitor queue for client website enquiries and assign to Partners/Managers
  • Training organisation e.g. training breakfasts, lunch and learn, etc.
  • Arrange team social functions

Other duties may include:

  • Informal training of staff on key applications e.g. staff scheduling, billing, expenses systems
  • Monitoring partner in-boxes when on annual leave
  • Supporting staff with desk booking system

About you:

  • Strong verbal and written communication skills
  • Strong organisational skills
  • Ability to multi-task and work with multiple stakeholders at all levels
  • Strong skills in Microsoft Word, Microsoft PowerPoint
  • Competence in Microsoft Excel
  • Completion of Year 12
  • Strong attention to detail
  • Technically confident on a PC and using web based applications
  • Ability to work autonomously and as part of a team

Desirable

  • Certificate in Business Administration or equivalent
  • Advanced Microsoft Office packages
