Job Summary
Provide timely and accurate administrative support for the Director of Transit. Using advanced computer skills and strong organization abilities, aid in the efficient day-to-day operation of the team/department. May provide leadership and coaching to support staff. Act as liaison between divisions/departments, and stakeholders, both internal and external.
Duties and Responsibilities
- Detail oriented to accurately research, review/prepare and organize correspondence, presentations, e-mails, spreadsheets and electronic filing system.
- Reviews related working documents to edit for content and clarity, including reports, documents and contracts.
- Schedule meetings, conference calls and other events and maintains the Director’s calendar. Coordinates all aspects of Transit Leadership Team meetings.
- Maintain action items and/or minutes of meetings, may track issues/grievances.
- Respond to general inquiries and requests for information, handle complaints and issues or direct to appropriate person.
- Ensure inquiries from elected officials are responded to in a timely manner; will assist in coordinating responses across the department as required.
- Coordinates the compilation of information from across Transit’s business units as required.
- Assess risks and impact of errors, recommend, develop and implement administrative processes/performance improvements.
- Perform budget tracking, advanced data entry tasks, time reporting on SAP.
- Track section and/or department costs/petty cash fund.
- Comply with relevant City policies.
- Provide ad hoc assistance on projects/initiatives within the unit/team.
- Other duties as assigned.
Skills and Qualifications
- Successful completion of a post-secondary program in administration/business, along with 3-5 years progressive experience in an administrative role.
- Solid typing/keyboarding skills; strong computer skills, including Microsoft Office programs.
- Excellent problem-solving skills and the ability to triage requests and competing priorities.
- May require some light lifting of supplies/materials.
- Prolonged exposure to computer keyboards and screens. Primarily office environment.
Hourly Rate/Salary: $ 60,710.00 - $ 80,950.00
