Role Overview
- PA, secretarial and administrative support to the two EU Partners and the wider European team
- Complex diary management – proactively organising internal and external meetings, ensuring timely and accurate communication to all
- Arranging extensive and complex travel requirements, preparing detailed travel itineraries and arranging visas
- Liaising recruitment and HR to assist with the onboarding of new team members, ensuring the relevant distribution lists are updated accordingly
- Supporting the European Alliance as needed
- Arranging notaries for legal documents
- Data collection and reporting on the successful implementation of the European business case
- Arranging European marketing events for service and sector growth and related activities
- Maintaining and updating European entity office tracker for strategic marketing
- Document preparation and formatting, including CVs, bids and other tender documentation as required
- Ensuring the team complete service reviews, mandatory training, timesheets and financial tasks/setting ready for invoicing within a timely manner
- Ensure the European team complete any outstanding items from the skills matrix
- Inbox management of EUROD365 inbox
- Setting up contracts, opportunities and fees on the D365 system
- Management of the European Interim Fee Forecast, set up manual project numbers for European contracts and opportunities, log and file COR forms related this this
- Arranging and setting up manual service reviews and Teams sites for off system projects
- Managing COR forms, setting up opportunities and contracts on the system and ongoing updates
- Assist regions with mailing lists, CRM data bases and generate various reports
- Ownership and administration of external and internal Teams’ sites – including monitoring usage, managing members, folders, documents, links, planners and providing best practice guidance
- Lead coordinator for quality assurance questionnaires
- Providing support to the Europe-based Office Managers
- Supporting the Finance and Operations Lead with contract and invoicing related queries and updates
- Point of contact for system enquires and providing training
- Supporting other administrators where necessary and providing holiday cover
- Assisting with all other administrative duties as required.
- Proven/demonstrable experience in a senior administration role ideally within the Construction sector for Consultancies
- High level of IT competency, MS PowerPoint, Excel, Outlook and Word
- Pro-active, diligent, flexible, reliable, and enthusiastic
- Excellent multi-tasking skills
- Proven ability to work to deadlines
- Able to stay professional and calm under pressure
- Must always maintain a high level of discretion and confidentiality
- Committed team player with a ‘can do’ attitude
- Minimum GCSE and A’ level qualifications
