The Purchasing/Receiving Clerk plays a vital role in supporting the operational success of The Westgate Hotel. This position ensures that all goods and products—including food, beverages, supplies, and equipment—are accurately received, inspected, and distributed to the appropriate departments in a timely manner. By maintaining organized inventory systems, overseeing shipments, and enforcing strict quality controls, the Receiving Clerk helps guarantee that every outlet, banquet, and guest-facing department has the resources needed to deliver exceptional service.

This role is essential in upholding the hotel’s standards of excellence, supporting smooth day-to-day operations, and contributing directly to the guest experience by ensuring consistency, reliability, and quality in all hotel services.

Responsibilities include:

  • Receiving and inspecting all deliveries; ensuring items are stored in the proper department and designated area.
  • Maintaining accurate logs of incoming and outgoing UPS and FedEx packages.
  • Preparing outgoing shipments, including packaging, labeling, and scheduling transportation pickups.
  • Monitoring and maintaining inventory of supplies, wine & liquor, and perishable goods.
  • Ensuring par levels are maintained for all outlets.

 

Job Responsibilities

  • Maintain an organized storeroom and accurate daily inventory.
  • Complete daily logs of all deliveries.
  • Receive and distribute goods throughout the hotel in a timely and accurate manner.
  • Ensure proper storage of deliveries in storerooms, coolers, and freezers.
  • Maintain cleanliness and organization of the loading dock, storeroom, coolers, and recycling areas.
  • Review daily requisitions and prepare order lists accordingly.
  • Manage daily UPS and FedEx deliveries and distribute packages to each department.
  • Prepare outgoing packages, create shipping labels, and coordinate pickups.
  • Maintain par inventory for restaurant goods and supplies.
  • Assist in preparing order lists according to Banquet Event Orders (BEOs).
  • Fulfill daily requisitions and ensure timely delivery to departments.
  • Operate forklift and pallet jack safely to move and relocate deliveries.

Physical Demands

  • Must be able to stand, walk, bend, and reach throughout shift.
  • Must be able to regularly lift, push, pull, or move up to 50 lbs. without assistance and occasionally more with assistance or equipment (pallet jack, dolly, etc.).
  • Must be able to work in varying environments, including coolers, freezers, and outdoor loading dock areas.
