Accounts Payable Officer – Job Overview
 
We’re looking for a proactive Accounts Payable Officer to join our Finance team. Reporting to the Financial Accountant, you’ll lead the day-to-day AP function, line manage one Accounts Payable Assistant, and take ownership of AP journals, cash returns, and credit card postings.
 
Our current AP system isn’t as effective as it could be, so we need someone who’s not only confident in the detail of AP but also keen to improve processes, challenge inefficiencies, and help shape changes to the way we work.
 
 

In this role, you’ll:

  • Oversee the full AP cycle, including invoice processing, supplier reconciliations, and weekly BACS payment runs.
  • Manage and develop a junior AP colleague.
  • Prepare and post journals for AP, cash returns, and credit card transactions.
  • Administer staff credit cards and petty cash, ensuring compliance and accurate reporting.
  • Provide AP reports, support audits, and play a key role in improving our AP systems and processes.

What we’re looking for:

  • Strong AP background with experience in payment runs, reconciliations, and journals.
  • Previous experience supervising or mentoring staff.
  • Confidence working with finance systems and a track record of improving processes.
  • Excellent communication skills and the ability to work with stakeholders and suppliers.

Key Responsibilities

Functional Responsibilities

  • Manage the payment inbox and address all payable queries, processing all invoices within agreed terms or earlier if possible for more local suppliers, including utilities and council tax
  • Prepare weekly BACS payment runs for authorization, send corresponding remittances when required and keep audit log / reports of all payments made.
  • Maintain the purchase ledger system updated, reconciliations of suppliers’ accounts, bank reconciliations and the set-up of new suppliers.
  • Be the first point of contact for the administration of credit cards, assisting the cardholders with queries they may have and administration of the petty cash.
  • Supervise the work undertaken by the Accounts Payable Assistant and provide line-management responsibilities.
  • Among others, assist the Financial Accountant with:
     a. All month end tasks as required
     b. Maintenance of fixed assets and investment schedules
     c. Preparation of schedules and documentation for internal and external audits
     d. Completion of reconciliations such as balance-sheet, bank, payroll and pensions
     e. Preparation of VAT and other quarterly returns

  • Streamline processes where possible, ensuring that simplification delivers added value to services and departments where possible.
  • Liaise the Systems & Contracts Accountant with procurement activities.
  • Any cover and support within the wider Finance team as required.
  • Any other tasks as reasonably requested by the line manager.

Skills, Knowledge & Expertise

Essential:

  • AAT qualified, studier or qualified by experience.
  • Proficient user of SUN and finance systems in general.
  • Able to partner services, guide their actions and address issues in a timely manner to minimize delivery disruption.
  • Excellent communication and ability to deal with people at all levels. 
  • Represent and actively promote the Finance function within the organisation and with external bodies
