Summary
ANG is seeking Administrative & Program Support Specialist, Journeyman to provide a wide range of administrative, operational, and program support functions to Regional Mission Directors (RMD), Deputy RMDs, Field Supervisors, and Division leadership within the Defense Counterintelligence and Security Agency (DCSA). This role supports critical mission functions, ensures compliance with DoD/DCSA policies, and enables efficient office operations across regional and field offices. 

 

Essential Functions

Records & Data Management: Maintain physical/electronic files and records per DCSA Manuals 00-04 Vol. 1 & 2. Track suspense actions, program metrics, training requirements, and personnel records. 

 

Employee Processing & Office Operations: Support onboarding/offboarding, travel cards, rosters, credentials, equipment assignments, and retirements. Apply office policies and procedures; provide desk/phone coverage and administrative support for leadership. 

 

Correspondence & Documentation: Draft, proof, and finalize reports, memoranda, newsletters, presentations, and official correspondence. Manage incoming/outgoing documents, ensuring accuracy, compliance, and timeliness. Support intra-office and external communications, distributing information across DCSA and partner agencies. 

 

Administrative & Program Support: Prepare and process time/attendance reports, travel arrangements, DTS submissions, and budget inputs. Coordinate conference rooms, meetings, and training events, including audio/visual and logistical support. Manage office supply inventories, property records, mail services, and equipment maintenance. 

 

Specialized Program Support: Assist with investigative program tracking, SharePoint updates, organizational charts, and distribution lists. Support Human Capital Management Office (HCMO) with resume tracking, recruitment events, applicant communication, scorecards, awards programs, and classification support. Serve as Government Owned Vehicle (GOV) Coordinator, managing logs, dispatch, accident reporting, and DPAS entries. Prepare for and support safety inspections, financial reporting, and property inventories. 

 

Follow management system policies, procedures, and work instructions as part of daily job duties. Protect company and customer information by adhering to security and quality requirements. Promptly report incidents, nonconformities, or risks to the appropriate authority.

May be requested and required to participate in Proposal Support functions due to expertise

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

 

Physical Demands

Must be able to remain in a stationary position 75% of the time.
Occasionally moves about inside the office to access file cabinets, office machinery, etc.
Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
Expresses or exchanges ideas by means of the spoken word.  Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly or quickly.
Frequently moves standard office equipment up to 25 pounds.
Must be able to work indoor conditions 90% of the time.
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
 

Position Type/Expected Hours of Work

This is a full-time position. Typical days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.  Evening and weekend hours required, as required by business need.

Up to 10% local travel may be required.

Additional Qualifications/Responsibilities

Experience

At least two (2) years of relevant administrative, program, or office support experience. (6) years of relevant administrative, program, or office support experience in lieu of a bachelor’s degree 
Strong written and oral communication skills. 
Proficiency in English and Microsoft Office Suite. 
Ability to handle Controlled Unclassified Information (CUI) and classified material in accordance with DCSA policies. 
Strong organizational and multitasking ability. 
Experience supporting senior executives or government agencies. 
Familiarity with DCSA policies, investigative support functions, and automated task systems. 
Ability to coordinate across multiple stakeholders and manage sensitive information. 
 

Education

Bachelor’s degree or equivalent.
