Role Overview:

This is a key role managing the RLB Reading Office, delivering customer service excellence, internally and externally, and ensuring the RLB ethos is maintained.
The role will lead and manage the day-to-day aspects of office management, ensuring the office runs smoothly.

Key Responsibilities

  • Day to day running of the office, ensure RLB customer excellence is implemented internally and externally
  • Booking and greeting employees and external visitors 
  • Management of meeting rooms, including preparing refreshments
  • Processing supplier invoices and liaising with the finance team
  • Managing charity events and initiatives, keeping the CSR tracker updated.
  • Responsible for Health & Safety for the office and team. Including ordering PPE
  • Overseeing office maintenance, facilities, and environmental items, ensuring records are kept up to date
  • Implement office policies and procedures
  • Management of office budget, tracking expenditure and approving invoices
  • Manage and maintain relationships with suppliers, contractors, and service providers
  • Update and maintain internal platforms
  • Organise office socials, events and work with the company and D&I communities to implement initiatives
  • Responsible for office communications, ensuring team are up to date with all necessary information
  • Provide assistance to the HR Team and payroll teams. 
  • Responsible for the onboarding process. Monitoring and supporting all new starter processes, working closely with the HR Team and IT teams, arranging equipment, carrying out inductions and working with the Line Manager to ensuring fully onboarded
  • Assisting with monitoring training completion and also booking courses
  • Arrange and monitor the new starter photos in line with the brand guidelines and file

Candidate Specification:

Experience

  • Previous experience in an office related administration role ideally within the Construction sector for Consultancies.
  • High level of IT competency, MS PowerPoint, Excel, Outlook, and Word
  • Excellent multi-tasking skills.
  • Must always maintain a high level of discretion and confidentiality.
