To provide direct administrative support to the State Manager Youth Services WA and associated services across WA

Support to the day to day needs of Youth programs through provision of administrative support including:

  • Provides direct clerical support to State Manager
  • Support manager to carry out and monitor server delivery analytics
  • Support is provided to State manager and relevant program management and staff in line with Youth Services Model of care and associated Frameworks
  • Support provided to State manager and relevant program management and staff in the implementation of National and State Agenda
  • Support is provided to all youth programs in accordance with TSA models and standards of practice
  • Risks to clients, staff and TSA are identified and bought to the attention of management as soon as possible
  • Accurate data entry using all relevant data recording systems within both internal and external systems
  • Monitor and complete required tasks within database systems including Workday, Kronos, SolvSafety, finance and other TSA systems
  • Processing of social program client rent payments using allocated rental record system
  • Assistance with planning and delivering meetings and events
  • Communicates effectively through thorough and accurate recording and other reporting methods
  • Uses technology and software applications effectively and in accordance with task requirements
  • Development and distribution of reports and related documents
  • Planning and preparation for staff events including training, forums and planning days
  • Assist with development of promotional materials
  • Management and oversight of social media accounts
  • Support in the planning, promotion and running of community events
  • Provide support for administrative matters across services as required including:
  • Petty Cash
  • Answering of phones including responding to phone enquiries
  • Stationery ordering and filing
  • Archiving database
  • Processing invoices for payment
  • Asset management
  • Brokerage documentation and management
  • Mail collection and distribution
  • Finance - distribution and storage of relevant budget documentation
  • Credit card reconciliations are completed on an at least monthly basis

Practice Development & continuous improvement

  • Ensuring service delivery data is recorded and appropriately maintained
  • Build and maintain relationships within local community
  • Reporting to State Manager on progress against internal and external service delivery compliance requirements
  • Participate in team meetings when required
  • Engage in regular supervision
  • Participate in professional development, training, and forums as required and appropriate

Qualification in Business Administration or relevant field

Demonstrated level of administrative skills and attained through previous roles, service and study/development

Demonstrated high level of interpersonal skills
