Key Responsibilities
Administrative Support
- Welcome and assist all incoming visitors, providing name badges and safety equipment as needed
- Answer and direct all incoming phone calls professionally
- Receive, sort, and distribute incoming mail; prepare and process outgoing mail
- Support the Plant Manager and Operations Manager with daily administrative tasks and reporting
- Generate and maintain weekly/monthly reports, including Labor Cost per Lb. and temp labor summaries
- Process temporary labor timesheets and enter hours into EHS
- Track expenses and prepare weekly status reports
- Prepare, format, and distribute internal communications
- Coordinate hospitality for meetings and training sessions (e.g., meals, refreshments)
Employee & Facility Coordination
- Issue building access cards for new hires
- Track employee uniforms and manage related inventory
- Input monthly plant safety meeting minutes into EHS
- Mail employee birthday cards and assist with employee recognition programs
- Publish Employee of the Month updates for internal communications
- Maintain bulletin boards and digital presentations with up-to-date announcements and news
- Order and manage office supplies; ensure cleanliness and organization of common areas
Accounts Payable / Receivable (AP/AR)
- Process incoming receivables and maintain logs and documentation
- Manage Basware workflow for accounts payable; ensure timely vendor payments
- Complete month-end accruals and plant spending reports
- Investigate and resolve invoice discrepancies
- Support new vendor setup and records maintenance
Other Duties
- Participate in special projects and tasks as assigned by management
Qualifications
- High School Diploma or equivalent required; college coursework or degree preferred
- 3+ years of administrative support experience in a fast-paced environment; plant or manufacturing setting strongly preferred
- SAP and workflow management experience required; Basware experience highly desirable
- Proficient in Microsoft Office, especially Excel (data entry, spreadsheets, calculations)
- Strong written and verbal communication skills with excellent interpersonal abilities
- Detail-oriented with strong problem-solving and organizational skills
- Ability to work independently while effectively managing multiple priorities
- Professional demeanor with a proactive, self-starter mindset
- Must be able to sit for extended periods and perform computer-based tasks efficiently
