Position Summary and Qualifications:

The Payroll and HR Services Specialist, reporting to the Sr. Director of Compensation and HR Operations and supporting the payroll and HR functions within the Human Resources division. The main priorities include assisting in the compilation of accurate and timely payroll processing while also contributing to HR operations as needed. This role requires a strong customer service spirit and a solid understanding of payroll systems, compliance requirements, and HR processes, with the flexibility to assist across both functions. This full-time role will split time between the biweekly payroll cycle and supporting other human resource functions such as, but not limited to, hiring, job changes, benefits, and data entry. The Payroll and HR Services Specialist must be able to maintain confidential information while providing timely, accurate responses by phone, on Zoom, through email/service tickets, and in person.

Essential Duties & Responsibilities:

Payroll

  • Process biweekly payroll, ensuring accuracy and compliance with federal, state, and local regulations.

  • Review and reconcile payroll reports, deductions, and timekeeping data.

  • Maintain employee payroll records, including tax forms, direct deposit information, and garnishments.

  • Respond to employee payroll-related inquiries with accuracy and excellent customer service.

  • Prepare and distribute payroll-related reports for HR, Finance, and leadership.

  • Collaborate with the HR, IT and Finance teams to ensure accurate payroll funding, reporting, and reconciliations.

HR Support

  • Assist with HR operations including onboarding, employee data changes, and benefits administration as needed.

  • Maintain employee records and ensure data integrity across payroll and HR modules.

  • Support compliance with employment laws, policies, and internal procedures.

  • Participate in HR projects and initiatives such as open enrollment, peak hiring , reporting, auditing, and process improvements.

  • Serve as a resource for employees, helping them navigate payroll and HR policies and processes.

Minimum Qualifications: (Education/Training and Experience)

Required:

  • High school diploma or equivalent education

  • At least 2 years of relevant/transferable experience in areas such as human resources, payroll, or related administrative functions

  • Experience with Workday or other HRIS/payroll systems

  • Ability to adapt to technology quickly and easily

  • Ability to adapt to changes in process or policy

  • Ability to keep clear and concise records with strong attention to detail

  • Ability to communicate effectively with a high level of customer service

  • Excellent interpersonal, communication, and customer service skills.

  • Flexibility to work across payroll and HR functions in a collaborative team environment.

  • Strong analytical skills with attention to detail and accuracy.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

Preferred:

  • Associate’s or Bachelor’s degree in Human Resources, Accounting, Business, or related field preferred.

  • 2–4 years of payroll experience, ideally within higher education or a complex organizational environment.

  • Knowledge of payroll regulations, wage and hour laws, and tax reporting requirements.

  • Experience with Workday and preferably within a higher education environment.

  • Experience working in higher education

Physical Requirements and/or Unusual Work Hours: 

  • Work will be performed in office with an opportunity for flexible work arrangements (hybrid)

  • Ability to work in-office on Fridays as required

  • Ability to work on a computer for long periods of time
