About the Role
Our administrative assistants support the daily operations of our accounting staff and the firm. Responsibilities may include:

· Conducting research and handling information requests

· Preparing client deliverables and correspondence

· Scheduling meetings, coordinating travel, and maintaining records

· Greeting visitors and answering calls

· Managing continuing professional education tracking and purchasing

· Training student assistants and providing backup for reception

Requirements

  

Responsibilities include but not limited to:

  • Provide general administrative support to multiple service areas including the billing department and firm operations
  • Manage client documents, reports, and tax forms
  • Act as a backup for receptionist and other administrative tasks.
  • Assist with busy season preparation, including extensions and client communications
  • Assist with client engagement setup by entering and maintaining accurate data in the firm’s billing and administrative systems
  • Generate, review, and distribute client bills in coordination with the Billing Coordinator and engagement teams
  • Monitor billing processes to ensure accuracy and timeliness of invoices
  • Track and resolve billing discrepancies or issues in collaboration with internal staff
  • Provide administrative support to the billing department and firm operations as needed
  • Maintain organized billing records and documentation in compliance with firm policies
  • Train and oversee other assistants supporting the billing function
  • Serve as back-up support for other administrative staff within the department

What You’ll Need:

  • 3+ years of experience in an administrative role, preferably in a professional services firm.
  • Excellent organizational skills and attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe.
  • Strong verbal and written communication abilities.
  • A professional demeanor and the ability to multitask in a fast-paced environment.
