Position Overview:
The Executive Assistant & Office Manager will be integral member of our company, partnering closely with our Executive Leadership to support our CEO’s vision and priorities. This role will be the primary contact for the CEO’s calendar, organizing and coordinating executive communications and activities. It will have the opportunity to work independently on projects from start to finish and handle a wide variety of activities and confidential matters with utmost discretion. The ideal candidate will be creative, have excellent judgment, and enjoy working in a fast-paced environment.
Job Responsibilities:
- Manage CEO calendar and meeting organization.
- Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports.
- Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly.
- Support preparation of internal communications, including Town Hall presentations and internal emails.
- Manage office by keeping up with office supply inventory and overall organization and condition.
- Plan company in-house and/or off-site activities – team building, celebrations, Board meetings, etc.
- Manage contract and price negotiations with office vendors and service providers.
- Manage the company T&E budget, ensure accurate and timely reporting.
- Provide general support to visitors.
- Support Leadership Team with key requests.
- Liaise with facility management vendors, including cleaning, catering, and security services.
- Manage all event operations (preparing venue, invitations/RSVPs, and logistics, etc.).
- Oversee event happenings and act quickly to resolve problems.
Skills, Knowledge & Abilities:
- Strong written and verbal communication skills
- Proficient with all MS Office tools
- Strong organizational and time management skills in a fast-paced environment
- Ability to operate with autonomy, bringing creative ideas and recommendations to projects
- Ability to build and maintain budgets
- Strong collaboration skills
Education & Experience:
- 3+ years’ experience as an Executive Assistant, Personal Assistant, or Front Office Manager
Salary for the Executive Assistant & Office Manager starts at $88,000 per year.
