The Groups Ministry Assistant supports the pastoral team in administering and coordinating various church small groups and educational programs. This role is central to the efficient operation of the church's small group activities, including life groups, study groups, care groups and the 50s+ group. The assistant ensures meticulous record-keeping, facilitates communications, manages group meetings, supports the assimilation process for groups, helps coordinate special events, and partners with the Executive Pastor of Discipleship on initiatives and strategies they are leading.

  • Must give testimony and evidence of a personal relationship with Jesus Christ and sense the call of God to a serving ministry.
  • Work in cooperation with all levels of management, support staff, personnel, church leaders, volunteers, members, and guests to fulfil the mission of Indian Rocks. Perform other responsibilities as directed by the immediate supervisor or other church supervising staff.
  • Administer the work of the ministry programs by encouraging positive teamwork and mutual support of the Mission Statement of Indian Rocks.  
  • Group Coordination and Support: Assist in organizing and tracking attendance for Life Groups, Support Groups, Bible Studies, the 50+ Group, and Bible Institute classes. Ensure materials such as attendance folders and name badges are prepared and available as needed.
  • Event and Class Scheduling: Utilize tools like eSpace to schedule classes, celebrations, or meetings. Update information on the church website through Groups Engine and handle communications for special events and print requests.
  • Material Preparation and Management: Create and update materials such as door signs, brochures, and birthday cards for group leaders. Handle printing requests and ensure timely distribution of updated materials.
  • Administrative Support: Support pastoral staff by processing communications requests, maintaining the tech phone schedule and bills, and managing monthly leader recognitions.
  • Record Management: Keep accurate records of group attendance and update master lists after each class or event. Process certificates for Bible Institute students who complete course requirements.
  • Special Projects: Assist with the development of annual calendars for the Bible Institute and the 50+ group, including coordination of entertainers and special event logistics.
  • Continuous Improvement: Attend departmental meetings for input and informational purposes, participating in the overall church mission by supporting other ministries with a positive attitude.
  • Manage situations, including ministry or interpersonal conflict seeking Biblical resolution.
  • Guard the confidentiality appropriate to the exchange of trust involved in a Christian ministry.

Requirements

  • Education: High School Diploma or equivalent. Further education in administration or related fields is a plus.
  • Experience: Experience in administrative roles, preferably within a church or non-profit setting, is highly desirable. Experience with event planning and coordination is also highly desirable.
  • Physical requirements: standing, walking, and utilizing hands for various tasks like grasping or manipulating objects. Employees will also need to reach, climb, balance, kneel, and maneuver around obstacles. Lifting up to 25 pounds.
  • Ability to learn church related systems to effectively support the ministry. Competence in office software, church management systems, and basic web management tools.
  • Possess the ability to communicate personally and publicly, with the ability to handle sensitive information discreetly. Able to communicate through written and verbal directions
  • Self-motivated, cooperative, innovative, courteous, conscientious, and flexible. Able to lead and act independently, consistent with the mission, policies, procedures, committee, and pastoral leadership.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously and meet deadlines.
  • A positive, cooperative team player who can work effectively with various church members and staff. Ability to resolve conflicts reasonably.
  • Must desire to be a team player, understanding that we are a multi-faceted church with several important ministries. 
  • Must give testimony and evidence of a personal relationship with Jesus Christ and sense God's call to a ministry of service.
  • Cultivate an ongoing cooperative relationship between church, school, membership, and community.
  • Demonstrate a consistent Christian lifestyle as referenced by the; the Mission, Statement of Faith, and Leadership Guidelines of Indian Rocks
  • Must be an active member of Indian Rocks as defined by; regular attendance in worship services, regular attendance/involvement in an Indian Rocks Connection Group or Small Group, commitment to systematic stewardship and faithful in tithing.
  • Responsible to perform the other duties as assigned and approved by supervising personnel to include, but not limited to: Lead Pastor, Church Administrator, Associate Pastors, or Personnel Committee.
