The Lower School Admission Coordinator is an integral part of the admission team, working closely with all members of the admission office, prospective families, and partnering offices. This position works throughout the admission cycle to support prospective parents, from inquiry to enrollment, with a primary focus on process management and customer service through clear, frequent, and proactive communication. The Coordinator also serves as the first face of the Lower School Admission Office, welcoming prospective parents, current parents, and faculty and staff while fostering close relationships by participating as an active member of the broader community. This 12-month, full-time position works under the guidance of the Director of Lower School Admission and reports to the Director of Admission & Enrollment Management.
General Responsibilities Include:
Application Management - manage application and documentation of all prospects
Communication Management - Manage communication with Lower School prospective families using multiple methods of communication including, but not limited to, welcome calls, scheduling bulk emails, managing bulk mailing, answering incoming calls, and responding to emails in a timely fashion
Family Facing - be the warm and welcoming face of admissions at the point of entry, assisting all visitors in accomplishing their goal/reason for visit
FinalSite Management - maintain the integrity of the admission database including student records and system setups with a high emphasis on accuracy and detail
Website Management - update admission changes on the Collegiate website in accordance with the information needed for the timing of the admission season
Scheduling - coordinate scheduling of group tours and admission conferences
Coordination - set up and coordinate with psychologists and prospective families on cognitive testing days
Planning - Assist in planning, executing, and attending annual prospective family admission programs, testing days, yield events and new student transition events
Collaboration - collaborate with partnering offices in the transition programming for students new to the Lower School
Committee Support - support the Admission Committee with applicant status changes and notification management and execution
Data Entry - enter necessary testing data into FinalSite throughout the admission season
Meet regularly with admission teams (Lower School and full Admission Team)
Maintain, organize, and transfer files as needed throughout the admission season
Organize bulk mailing of marketing materials to area preschools
Serve as an active member in various Admission organizations (AISAP, EMA, etc.) and participate in continuing professional development opportunities
Support the Lower School admission office with flexibility during high volume and high traffic times
Oversee office orders throughout the year
Manage and transfer files at the end of the season
Coordinate with the MS/US Admission Office as needed concerning sibling files, scheduling, data management, website updates and file transferring
Successful candidates will possess the following qualifications and competencies:
Bachelor’s degree required
Minimum of 5-7 years of relevant work experience, or demonstrated knowledge of admission process, preferably at an independent school or university
Commitment to the ideals of a Collegiate education and diversity; must have an appreciation for serving the needs of an increasingly diverse population
Superior interpersonal, communication, analytical, and organizational skills
Ability to work independently and as part of a high-performing team and maintain a sense of humor and enjoyment of the work
Genuine appreciation of children
Proficiency in data management systems (SchoolAdmin/FinalSite a plus), computer applications (G-Suite), willingness to learn additional applications as needed
Ability to think strategically with poise and confidence in a fast paced environment
