GENERAL STATEMENT

Under the direction of the Senior Administration Coordinator, the USU Administration Assistant  provides clerical support for the University Student Union Administration Office to include the ASI Associate VP & Executive Director, Assistant VP & Chief Operating Officer and senior management as needed. The incumbent is tasked with administrative duties and special projects as assigned. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  1. Assists the Senior Administration Coordinator with preparation of meetings to include agenda and other related documents.
  1. Responsible for preparation of all University Student Union & Student Recreation & Wellness Center Board of Trustees (URECBOT) meetings as well as any standing committee meetings.
  1. Transcribes minutes from the URECBOT and other standing committee meetings.
  1. Answers telephone calls, greets visitors, and responds to inquiries in a professional manner in support and during the absence of the Senior Administration Coordinator.
  1. Preparation of check requests, forms, and other documentation with accuracy and attention to detail.  Maintains general office files.
  1. Assists the Senior Administration Coordinator with special events set-up/closings, and travel arrangements.
  1. Operates standard office equipment including copy machines, computers, printers, shredders, etc. Maintains office supplies and paper supply in office machines.
  1. Assists with the collection and distribution of University Student Union correspondence
  1. Assists with special event planning as needed. 
  1. Performs other job-related functions as requested.
  1. Provides general information about the USU, to the campus and off-campus communities.
  1. Maintains the confidentiality of all documents, papers, and personnel matters, following ASI protocols and regulatory requirements.  

 

MINIMUM QUALIFICATIONS   

 

Education and/or Experience 

Office work experience preferred but not necessary.  CSULB student enrolled in six or more units and maintain a cumulative GPA of 2.0.  

 

Knowledge and Abilities 

  • Excellent interpersonal, written, time management and verbal communication skills
  • Ability to develop and maintain effective working relationships within a diverse academic community.
  • Working knowledge of the fundamental activities and operations of a business office, or ability to rapidly acquire such knowledge as a condition of continued employment.
  • Working knowledge of Microsoft Office Suite to include Microsoft Word, Excel, and Outlook.
  • Working knowledge of computer operations is necessary.  
  • Excellent verbal, written, and organizational skills.
  • Ability to follow verbal and written instructions and to work independently
  • Ability to communicate and analyze situations as requested.
  • Exceptional customer service skills are a must.  
  • Knowledge of university organizational structure and some working knowledge of university policies and procedures preferred.
