About the Role
As an Operations Manager for Mid-Market Scribe Note Quality, you’ll own the end-to-end experience of our AI-assisted clinical notes in mid-market accounts. You will dive deeply into AI note retention metrics—how much of the AI-generated draft providers actually keep—then architect, pilot, and scale solutions that continuously improve those metrics. You’ll partner closely with Product, Engineering, and Client Success to identify root causes, drive fixes, and optimize client-facing templates and instructions.
This full-time position requires working 5 days a week in our Mountain View, CA office.
What You'll Do
Provider Template Customization & Issue Debugging
Proactively monitor note retention metrics and collaborate with the Customer Success team to anticipate and address provider challenges with AI note quality.
Collaborate directly with providers to gather feedback on AI-generated notes and identify pain points and feature requests.
Translate provider feedback into actionable improvements for templates, prompts, and workflows.
Tooling Development & Automation
Architect and build internal tools to collect, visualize, and monitor AI note retention metrics in real time.
Develop and maintain classification engines (rule-based or ML-driven) to automatically categorize provider edits by type (content, formatting, clinical corrections).
Implement and optimize ETL pipelines that aggregate edit logs, apply categorization logic, and feed results into dashboards or data warehouses.
Ensure tooling is scalable, maintainable, and integrates seamlessly with existing data platforms and analytics frameworks.
Process & Solution Development
Work hand-in-hand with Product Managers on roadmap prioritization driven by quantitative impact.
Partner with Engineering to translate high-impact edit patterns into product or workflow enhancements (e.g., smarter prompt templates, UI tweaks).$1
Offshore Team Management & Data QA
Manage an offshore team responsible for extracting and processing EMR data to support note quality analysis.
Define productivity benchmarks, monitor performance metrics, and implement process improvements to ensure timely and accurate data delivery.
Oversee quality assurance processes for their work, including validating data accuracy, completeness, and compliance with client and regulatory standards.
Provide training, feedback, and development plans to maintain high team performance and data integrity.
What You Have
2-4+ years in operations, analytics, or process improvement roles, ideally within healthcare technology or AI-driven products.
Demonstrated experience defining KPIs, building dashboards, and presenting data to senior stakeholders.
Strong analytical toolkit: SQL, Python, and the ability to translate data into clear, actionable insights.
Track record of owning end-to-end projects: scoping requirements, running pilots, iterating based on feedback, and scaling successful solutions.
Excellent communication skills, with the ability to bridge technical and non-technical audiences.
Familiarity with clinical documentation workflows or EHR integrations is a plus.
