At Healthy Planet, our Operations Coordinators are vital to ensuring seamless operations through expert management of invoicing, administrative support, and coordination across departments. This role blends precision, organization, and communication skills to maintain accuracy in financial documentation, support store logistics, and contribute to overall operational excellence.
You’ll collaborate closely with store leadership, warehouse teams, and head office departments to optimize processes that keep the business running smoothly, helping deliver an exceptional customer and team experience.

Key Responsibilities
Administrative & Operational Support
- Respond promptly to telephone, in-person, and electronic inquiries or direct appropriately
- Prepare correspondence, reports, presentations, forms, and internal documentation
- Support planning and execution of storewide and departmental meetings, projects, and events
- Liaise with vendors and other Healthy Planet stores to track orders and deliveries
- Monitor store order-related communications and respond professionally
- Maintain warehouse cleanliness, safety, and organization standards
- Assist with operational and Loss Prevention activities as required
Invoicing & Inventory Coordination
- Manage store invoicing processes with accuracy and timeliness
- Investigate and resolve open purchase orders pending for 7+ days
- Track missing invoices older than 21 days and escalate as needed
- Coordinate store credits and communicate with Head Office Credit Department
- Maintain precise DIST001 warehouse transfer and inventory documentation
- Support inventory control on sales floor and warehouse
- Assist in receiving and shipment verification by comparing invoices to deliveries
Training & Compliance
- Completion of required Lessonly training modules
- Ongoing participation in workshops and brand education sessions to stay current on wellness trends and company initiatives
- Demonstrated commitment to attendance, punctuality, team collaboration, and reliability
Other Duties
- Perform additional tasks and responsibilities as assigned.
Qualifications and Skill Requirements
- 2+ years’ experience in retail administration, invoicing, or warehouse operations preferred
- Proficient with Microsoft Office (Excel, Word, Outlook) and retail inventory systems
- Strong attention to detail and organizational skills
- Excellent verbal and written communication abilities
- Ability to prioritize and multitask effectively in a fast-paced environment
- Self-motivated and capable of working independently as well as collaboratively
- Physically able to lift up to 40 lbs and remain active on your feet when needed
- Dependable, punctual, and a team player with a commitment to accuracy
