San Diego Humane Society is hiring a full-time Data Services Administrator for our Philanthropy team!

What you’ll do:
- Support Data Team Operations – Provide strategic oversight, mentorship, and cross-training to Data Team staff to ensure high standards in gift processing, data entry, and workflow management. Prioritize and assign daily tasks, audit work for accuracy and efficiency, and serve as a leadership backup in the absence of the Sr. Director of Philanthropy Services to maintain operational continuity.
- Enhance and Optimize Gift Processing Operations – Collaborate closely with the Sr. Director and Data Team to establish, maintain, and continuously improve robust gift processing, policies and procedures. Maintain comprehensive documentation and implement rigorous audit practices to uphold data integrity while driving efficiency and consistency across all gift processing and data management activities.
- Oversee Donor Acknowledgment Processes and Infrastructure – Oversee the maintenance and improvement of donor acknowledgment letter templates and mail merge processes to ensure the timely, accurate, and personalized delivery of donor acknowledgments. Maintain and apply appropriate database coding within Raiser’s Edge NXT to support segmentation, tracking, and alignment between acknowledgment content and gift information. Collaborate with Philanthropy staff to uphold communication standards and reinforce donor engagement through professional, mission-aligned correspondence.
- Lead Data Reporting, Mailing Lists, and Data Projects – Partner with the Sr. Director, Data Team, and Philanthropy staff to strategize, produce, and deliver mailing lists for direct mail, events, publications, and donor recognition. Generate comprehensive data reports – including annual audit reports, donor year-end statements, and analytical fundraising reports – to support fundraising, stewardship, and program management. Lead data initiatives such as record synchronization, data cleanup, and large-scale system updates to enhance overall data quality and reporting capabilities.
- Oversee Constituent Data Integrity and Projects – Maintain accurate donor records by managing constituent updates, ensuring data quality, and leading ongoing duplicate suppression initiatives. Coordinate data projects that promote consistency across systems, including the synchronization of records between Raiser’s Edge NXT and other organizational platforms.
What we’re looking for:
- Requires a bachelor's degree in related field, and a minimum of five (5) years of progressively responsible, full-time experience working with gift processing and data entry, or an equivalent combination of related work experience and education.
- Requires a high proficiency in Microsoft Office with advanced experience using Mail Merge, and experience with donor database systems, such as Blackbaud’s Raiser’s Edge NXT and Luminate Online (or equivalent systems) and data tools, such as Omatic’s ImportOmatic.
Location & Hours: Supports all campuses, but based at our San Diego Campus. This position will have the potential flexibility for remote work some days of the week once on-site training is completed.
Pay: Starting range is between $68,640 – $85,800 per year.
The listed hiring range for this position depicts the target range of pay rates for candidates. The maximum of the hiring range is reserved for candidates with the highest qualifications and relevant experience. Compensation for internal candidates may increase beyond the listed range based on performance over time. For all candidates, the actual starting pay rate is determined by a variety of factors, including but not limited to your years of related education and experience, internal pay equity, and position location.
