General Description
This position requires a highly skilled administrative professional capable of working independently with minimal supervision. The role exercises sound judgment and operates in a discretionary capacity in support of Regional Management’s priorities, policies, plans, and objectives. Strong organizational skills and the ability to manage multiple projects simultaneously in a fast-paced, dynamic environment are essential in this position.
Duties and Responsibilities
Incumbent may perform any combination of the tasks listed below:
- Coordinates and/or performs on-site property maintenance functions.
- Composes and prepares routine correspondence for manager from drafts, notes and/or network.
- Edits reports and correspondence for style and correct English usage, grammar, punctuation and spelling.
- Answers telephones and responds to inquiries from the public, members and staff as appropriate.
- Represents CTA and provides assistance to members and chapter leaders requesting Association services, benefits and programs.
- Assists in identifying, developing and reporting information from files and other resource documents.
- Makes timely referrals to appropriate staff and/or ensures inquiries receive a response in absence of Regional Management.
- Compiles information and creates/maintains databases using current technology.
- Schedules appointments and travel arrangements as requested and maintains calendar for Regional Management.
- Attends, arranges and prepares for meetings and workshops and performs necessary logistics.
- Provides assistance to other CTA departments through Regional Management in coordination of CTA programs.
- Serves as Assistant Conference Coordinator for Regional Conferences.
- Reviews CAP Applications, reimbursement requests and Arbitration Funding Applications.
- Responds to emergencies requiring immediate referral or resolution in the absence of Regional Management.
- Plans, coordinates and follows through on large, complex logistical projects assigned on a continuing basis.
- Handles confidential information, including sensitive member complaints.
- Creates forms, tracks projects, and processes reimbursements related to CTA grants.
- Assists with monthly Field Reports.
- Prepares materials for manager's use at State Council, Board of Directors, and other meetings, conferences and events.
- Opens and processes mail including electronically transmitted materials.
- Maintains office telephone answering system.
- Performs designated office errands.
- Performs office management duties for the Regional Office.
- Performs other appropriate duties as assigned.
Qualifications - Minimum Required
- Bachelor's degree or Associate degree & 2 years relevant experience or High School diploma/GED & 5 years relevant experience.
- Demonstrated ability to exercise sound judgment and initiative.
- Demonstrated ability to follow through on work assignments with little supervision.
- Demonstrated ability to exercise planning, coordinating and follow-through skills as applied to large complex logistical projects.
- Demonstrated ability to work under considerable pressure and solve routine office problems independently.
- Proficient word processing skills with minimum keyboarding speed of 55 wpm.
- Computer proficiency and the ability to learn and use the Association's software programs.
- Ability to communicate clearly, verbally and in writing.
- Ability to learn and communicate CTA structure, policies and procedures.
- Ability to work overtime as needed.
*This position is in a bargaining unit represented by CAS. Salaries are established by a collective bargaining agreement. Step placement is also determined by the CTA/CAS Agreement.
