The Administrative Support – Truck Services Division is responsible for providing billing, invoicing, and operational support to multiple truck service locations across the company. This role ensures the accuracy of service records, processes administrative transactions, and assists with location-specific reporting and customer account management. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced, service-driven environment.
Key Responsibilities
- Prepare and process customer invoices, verify billing accuracy, and maintain service records.
- Research and resolve billing discrepancies or customer account issues.
- Communicate with location managers and technicians to confirm service data and job completion details.
- Assist with daily, weekly, and monthly reporting of service revenue, labor, and inventory usage.
- Maintain digital and paper records of transactions, customer files, and internal billing logs.
- Coordinate with corporate finance or accounting teams on payment processing and reconciliations.
- Provide administrative support to Truck Services leadership, including data entry, scheduling, and document prep.
- Assist with customer inquiries, billing questions, and internal follow-up communications.
Requirements
- High school diploma or equivalent (Associate’s degree preferred).
- 2–3 years of experience in administrative support, billing, or invoicing – preferably in a service-based or automotive/truck-related industry.
- Proficient in Microsoft Excel, Word, and office productivity tools.
- Strong attention to detail and ability to manage data across multiple systems.
- Excellent communication and organizational skills.
- Comfortable working across departments and locations in a support capacity.
Preferred Skills
- Familiarity with truck maintenance, repair, or roadside service operations.
- Experience with billing software, point-of-sale systems, or service ticketing platforms.
- Ability to multitask and handle time-sensitive requests with professionalism.
