THE OPPORTUNITY
The Greater Baltimore Committee seeks a detail-oriented, proactive, and tech-literate administrative assistant to join the Operations team. The administrative assistant will handle a range of administrative tasks that keep our operations running smoothly—leveraging Microsoft 365 and SharePoint, office AV, CRM platform, project management system, and other technology. They will play a crucial role in coordinating and facilitating strong operations of the organization, including calendar management, office and cross-functional coordination, and event support.
In addition to being a critical member of the Operations team, this role will specifically support the Economic Investment and Strategy teams, supporting scheduling, external coordination, and project management. This role requires strong communication skills, the ability to multitask and prioritize, the ability to conceptualize and execute complex scheduling, and a willingness to adopt technology and learn. The ideal candidate is a true team player ready to support a dynamic and fast-paced environment.
KEY RESPONSIBILITIES
- Act as a liaison between the Operations team, other GBC teams, and external partners and stakeholders;
- Coordinate and support preparation and follow up from meetings, retreats and team building activities, conferences, and events;
- Manage calendars for team members, including scheduling appointments, meetings, and convenings, and coordinate travel arrangements;
- Prepare, edit, and format documents, reports, and presentations;
- Leverage technology tools and support data capture and quality in GBC’s core systems, supporting GBC’s technology transformation roadmap (i.e. Salesforce, SharePoint, Monday.com);
- Coordinate cross-functionally and gather relevant data and input to support decision-making;
- Other duties as assigned, including handling general administrative tasks, i.e. credit card reconciliation, email correspondence, phone inquiries, and supporting preparations of grant applications and reports.
Requirements
PROFESSIONAL EXPERIENCE/QUALIFICATIONS
- High school diploma or a General Education Development (GED) certificate, at minimum, required;
- 3+ years experience as an Administrative Assistant or in a similar EA or coordinator role;
- Strong organizational and time-management skills;
- Excellent written and verbal communication skills;
- Comfort navigating digital tools and open to learning new technologies. Proficiency in MS Office Suite, Salesforce, and other relevant software is a plus;
- Ability to handle sensitive information with confidentiality;
- Experience working in a dynamic and fast-paced environment.
