Our opportunity
As Utility Administration Manager you will be responsible for the contract administration of the Asset Management utility services, including electricity, gas, water and waste. 
Reporting to the Director ESG, the role will support market utility tenders and administer all utility contracts to maintain service quality and day-to-day management. 

 The role will ideally be based in Sydney, but alternative locations in Australia will be considered for the right candidate.

Your responsibilities will include:

Contract & Provider Management

  • Lead administration of all utility contracts across the portfolio
  • Support market tenders, contract renewals and transfers
  • Manage relationships with multiple utility providers, embedded network operators and distribution networks to maintain service quality and compliance.
  • Administer contract roll-in and roll-out processes for new connections, divestments and portfolio changes.
  • Support the resolution of contract disputes, billing queries and account irregularities to preserve financial and operational integrity.

Metering & Accounts Administration

  • Oversee more than 400 energy and water metering points, including temporary, embedded and base building meters.
  • Coordinate meter connections, transfers and disconnections in collaboration with asset management and operations teams.
  • Ensure account records are maintained accurately and updated promptly.
  • Support the ESG Data and Reporting Manager to enhance systems and processes for tracking account metrics and access to data.

Financial Oversight & Risk Management

  • Support invoice processing to prevent overdue payments, interest charges or penalties.
  • Monitor utility expenditure and analyse trends, ensuring compliance with contract terms and seeking cost saving opportunities.
  • Support the development of energy, water and waste budgets and ongoing, utility cost forecasting.
  • Establish and maintain a register for utility contracts and metering points.

Stakeholder Engagement & Advisory

  • Serve as the principal point of contact on utility contract administration for internal stakeholders including finance, asset management and sustainability teams.
  • Liaise with external stakeholders including consultants and auditors as required to support reporting and assurance.

Compliance, ESG & Regulatory Disclosure

  • Co-ordinate the review and approval of utility contracts and ensure contract records meet internal and external audit and assurance requirements.
  • Support the ESG Director and ESG Data & Reporting Manager with data assurance and reporting.

Your point of difference

  • 3–5 years’ experience in contract administration, procurement, utilities, or facilities management.
  • An understanding of utility billing, contracts, and metering processes.
  • Exposure to sustainability, or property/funds management environments is desirable.
  • Proficiency in Microsoft Excel and desirable in the Yardi platform.
  • Highly organised with strong attention to detail.
  • Strong stakeholder engagement and communication skills.
  • Problem-solving capability with the ability to manage competing priorities.
  • Financial acumen with ability to track, reconcile, and report on costs at both the asset and portfolio level.
  • Ability to work independently and collaboratively in a dynamic environment
