Function:

The EHR Administrator is responsible for managing, maintaining, and optimizing the Electronic Health Record (EHR) system to ensure seamless clinical workflows, regulatory compliance, and data integrity within a behavioral health/integrated care setting. This role serves as the primary liaison between clinical staff, administrative teams, and technology vendors, ensuring the EHR system supports high-quality patient care and organizational efficiency.

Organizational duties & responsibilities:

  1. The primary responsibility of all staff is to ensure the safety and well-being of all Ramey-Estep/Re-group (RE) clients.
  2. Supports the mission, vision, and values of RE.  Facilitates and adheres to the agency’s code of ethics, policies, and procedures.
  3. Supports all functions that attain and maintain accreditation and compliance with regulatory agencies.
  4. Supports and facilitates positive interaction with clients and staff by exhibiting both in-office and in-public when carrying out job duties:  individual maturity, respect for others, a team-centered approach, maintenance of confidential information, and awareness and sensitivity to cultural and other differences in clients and staff.
  5. Exhibits effective communication skills, including proper use of agency communication systems.
  6. Participates in appropriate professional development programs to attain and maintain competency.
  7. Effectively manages financial and physical resources to achieve the mission of RE.
  8. Reports incidents of abuse or potential abuse involving clients to the appropriate authorities and RE.

Essential Duties and Responsibilities:

  1. Manage day-to-day operations of the EHR system, including user account creation, role-based access control, and security settings.
  2. Configure system workflows, templates, and forms to align with behavioral health/integrated care documentation standards.
  3. Monitor system performance, troubleshoot technical issues, and coordinate timely resolution with vendors.
  4. Schedule and implement system updates, patches, and upgrades to maintain optimal functionality.
  5. Serve as the primary point of contact for EHR-related inquiries and technical support.
  6. Develop and deliver training programs for clinicians, administrative staff, and new hires to ensure proper system usage.
  7. Create and maintain user manuals, quick reference guides, and video tutorials.
  8. Conduct periodic refresher training sessions and competency assessments.
  9. Ensure adherence to HIPAA, 42 CFR Part 2, and other federal and state regulations governing behavioral health/integrated care records.
  10. Implement and monitor security protocols to protect patient data and prevent unauthorized access.
  11. Conduct regular audits of user activity, data integrity, and system compliance.
  12. Maintain documentation for compliance reviews and accreditation processes.
  13. Collaborate with clinical leadership to analyze current workflows and identify areas for improvement.
  14. Customize EHR features to streamline documentation, scheduling, billing, and reporting processes.
  15. Test and validate new workflows before deployment to ensure efficiency and accuracy.
  16. Provide feedback to vendors on system enhancements that support behavioral health/integrated care best practices.
  17. Design and generate reports for clinical outcomes, operational metrics, and regulatory compliance.
  18. Support quality improvement initiatives by providing data insights and trend analysis.
  19. Assist leadership in preparing reports for audits, grant applications, and performance reviews.
  20. Maintain dashboards for real-time monitoring of key performance indicators.
  21. Act as the liaison between the organization and EHR vendors for issue resolution and system enhancements.
  22. Manage EHR-related projects, including new module implementations, integrations with third-party systems, and data migrations.
  23. Develop project plans, timelines, and deliverables, ensuring successful execution within budget.
  24. Evaluate vendor’s performance and recommend improvements or alternatives as needed.
  25. Stay current with EHR technology trends, behavioral health/integrated care regulations, and best practices.
  26. Participate in professional development opportunities and industry forums.
  27. Recommend innovative solutions to improve system usability and staff productivity.
  28. Other duties as assigned.

Working conditions/environment:

  1. The shift is typically Monday – Friday, day shift.
  2. Holidays, weekends, and extra hours may occasionally be required.
  3. A fast-paced environment with the need for quick decisions to deal with any crisis that may arise.
  4. This position is office-based with extensive computer usage. The position may be considered for a hybrid schedule with a combination of office-based and remote hours.
  5. Occasional regional travel to other RE office locations may be required.
  6. Maintains a positive, professional attitude contributing to a supportive work environment.

minimum job requirements:

Education:

Bachelor’s Degree in Health Information Management, Information Technology, or a related field from an accredited university/college is required. Experience may be considered in lieu of a degree.
Certification in Health Information Management, or EHR systems administration, is preferred.

Experience:

A minimum of 3 years of experience administering EHR systems in healthcare or behavioral health/integrated care setting is required.
Familiarity with behavioral health/integrated care documentation standards and regulatory requirements is required.
Experience with data analytics and reporting tools is required.
Experience with behavioral health/integrated care operations or clinical workflows is strongly preferred.

Specific Skills and

requirements:

Must be at least 21 years of age.
General technical requirements include proficiency with Microsoft Word, Excel, PowerPoint, and any other applications used by the organization or regulatory agencies.
Strong understanding of EHR platforms.
Excellent problem-solving, communication, and project management skills.
Excellent communication and interpersonal skills, with the ability to support users with varying levels of technical knowledge.
Ability to handle sensitive information with discretion and maintain HIPAA compliance.
Strong problem-solving skills and attention to detail.
Must be able to provide exceptional customer service.
Must maintain a valid Driver’s License and insurability.
Technical requirements include proficiency with Microsoft Word, Excel, PowerPoint, and any other applications used by the organization or regulatory agencies.
Ability to understand and relate to the needs of clients from diverse backgrounds.
Ability to read, write and converse in English.
Successful completion of a pre-employment drug screen.
Successful completion of a background screening.
Successful completion of a TB skin test or proof of a negative chest x-ray or other documentation.

Specialized Licenses or training:

Successful completion of Excellent Foundations.
Maintain 20 hours of annual training.
