What to expect:
The HR Leave Support Administrator is responsible for providing HR support with a focus on managing employee leaves of absence and general HR administrative functions. This role ensures compliance with applicable federal, state, and company leave policies while also supporting day-to-day HR operations. We’re seeking someone who demonstrates exceptional attention to detail, maintains strict confidentiality, and brings a strong customer-service mindset to their work.
How you will make an impact:
Leave of Absence Administration (75%)
- Process and administer employee leave requests in accordance with FMLA, ADA, state leave laws, and company policies.
- Serve as a primary contact for employees and managers regarding leave status, eligibility, and documentation requirements.
- Generate and send required notices, forms, and correspondence accurately and timely.
- Coordinate with Payroll, Benefits, and HR teams to ensure accurate pay and benefit continuation during leave periods.
- Track leave balances, return-to-work dates, and required certifications in the leave management system.
- Support the ADA interactive process by scheduling meetings, documenting discussions, and tracking deadlines for follow-up meetings, accommodations, and reevaluation.
- Maintain confidential employee leave files and ensure compliance with all recordkeeping requirements.
- Identify when complex cases, or disputed accommodation requests should be escalated.
HR Support (25%)
- Offer first-level HR support to employees and managers via the self-service portal, assisting with questions and requests related to policies, benefits, and HR processes.
- Monitor and respond to HR cases and service tickets in a timely, professional manner, ensuring a high level of customer satisfaction.
- Maintain HR data integrity by entering and updating employee information in HR systems.
- Assist with employee engagement initiatives, reporting, and compliance audits.
- Participate in HR projects and process improvement initiatives as assigned.
What you will bring:
Required Experience, Qualifications & Skills:
- Associate’s degree in Human Resources, Business Administration, or related field (Bachelor’s Preferred), OR applicable experience.
- 2 years of experience in HR administration, leave management, and/or HR.
- Working knowledge of FMLA, ADA and state leave regulations.
- Proficiency in HRIS and Microsoft Office Suite.
- Strong communication, organization, and time-management skills.
- Ability to handle confidential information with discretion.
Location
The ideal candidate will be based in the Chicago area and able to work on-site as needed, as this position follows a hybrid work model.
