About the Department

Under the supervision of the Director of Graduate Programs; responsible for updating the website; providing career services; coordinating open houses; registration of new and current students in all College of Business graduate programs; admissions, on-boarding and orientation; performing degree audit checks; managing five databases, supporting the ongoing growth and development of the Global MBA/International Triple Degree Program, supporting the development of the Ochsner Executive MBA and and the development of the 4+1 undergraduate/graduate accelerated program,  providing administrative support of day-to-day management and operations of seven graduate programs in the College of Business.

Position Duties

1. GRADUATE PROGRAM AND NON-DEGREE SEEKING ADMISSIONS & RECORDS
 - Coordinates recruiting and admissions efforts of graduate business programs - Communicates and collaborates with Director of Program, Directors  of 2 Graduate Admissions offices, and admissions advisors, and Graduate committee to ensure prompt and complete consideration of each applicant.
 - Plans, coordinates, implements and evaluates reception, open houses, or other promotional programs; planning and conducting of on campus recruitment and public relations activities utilizing Loyola administrators, faculty, students and alumni.
 - Conducts tours and meet-and-greets as scheduled for visitors to the department.
 - Works with the Program Director, Assistant and Associate Dean and Dean to refine systems by which to assess and evaluate the effectiveness of all recruitment programs and processing activities.
 - Completes initial review of application files for admission, evaluates domestic and international credentials including calculating undergraduate GPA, and provides assessment and recommendations to director and graduate committee.
 - Responds to all graduate program inquiries submitted to the College of Business, including but not limited to: application requirements, GMAT and language scores submitted to Loyola, phone calls, emails, open houses, walk-ins, referrals, or any application piece submitted to college.
 - Creates and handles correspondence with prospective students, including communicating decisions and releasing letters of admissions, email correspondence, phone conversations, interview scheduling, etc.
 - Ensures receipt of all required credentials for graduate program applicants, including international requirements and domestic credentials (i.e., language scores, undergraduate certification and GPA, etc.).
 - Coordinates and participates in all admissions and scholarship interviews, including Global MBA/Triple Master admissions processes and interview sessions with partner institutions.
 
 2.ADVISING AND REGISTRATION
 - Advises, on-boards, and facilitates registration new admits. 
 - Advises and facilitates registration for current graduate and non-degree graduate seeking students on current and subsequent semesters; facilitates plan for curriculum completion in line with program design and student targeted completion date.
 - Coordinates course information and performs audit checks for graduation on graduate matriculation with Director of Student records.
 - Adheres to all College and University Policies, as spelled out in the Graduate Bulletin and graduate program Handbook.
 - Assists Director with regular reviews and updates of the Graduate Bulletin and graduate program Handbooks.
 
 3.GRADUATE PROGRAM COMMUNICATIONS
 - Maintains databases for seven graduate programs in the College of Business.
 - Disseminates all information to current students from and for the MBA Director and Dean regarding courses, curriculum, and program via email.
 - Serves as collaborator/ representative to overseas partners (Global MBA) with the Director of Graduate Programs.
 - Communicates program events to current, prospective, and alumni, as appropriate, including networking and social events, learning opportunities, community services opportunities, job openings/internships, and other events. 
 - Provides liaison between students and Director and Dean(s) as to student concerns and requests.
 4.    CRM FILES AND DATABASE
 - Maintains executive and college-level advising M.B.A., graduate program and non-degree seeking students’ files, including all documents, course information, communication, contracts, discipline, academic actions, etc. with high level of detail and accuracy
 - Maintains applicant and student information on University Student-Information-System (SIS), consistent with college-level CRM and files.
 - Create standard and non-standard reports for Director and Graduate Program performance management system
 - Keep CRM and SIS skills up-to-date.
 - Completing administrative elements for the Global MBA/ITD program and the Ochsner Executive MBA program including collecting, verifying, and disseminating student documentation, application materials, and international pre-departure paperwork with/to the proper partner ITD institution and Ochsner.
 - Builds and distributes student surveys.
 
 5. GRADUATE PROGRAM MARKETING
 - Maintains a consistent program brand that is aligned with the university’s strategies.
 - Coordinates college marketing activities, including but not limited to new strategies and materials, print and web advertising and promotions, and promotional materials for the college.
 - Develops marketing strategies for student recruitment for Global MBA/Triple Master.
 - Develops, budgets, and promotes graduate student recruitment events, including information sessions, open house programs, graduate fairs and other outreach activities on campus, within the community, and internationally.
 - Coordinates marketing efforts with university initiatives and adheres to university guidelines.
 - Manages and updates Graduate Program Website within the College of Business and works with the Director and Dean on innovative strategies.
 - Collaborates with and provides updated materials to the webmaster to improve and upgrade the website updates.
 - Performs on-going analysis of program data
 - Completes surveys on program for industry journals, publications, and websites.
 
 6.GRADUATE PROGRAM EVENTS & OUTREACH
 - Plans and executes Global MBA/IDT events including but not limited to open houses, pre-departure meetings, kick-offs, group advising sessions, etc.
 - Assist faculty with external course development focusing on vendor negotiations, location, cost analysis, and proposal development.
 - Assist faculty with publicizing and promoting special events for graduate programs including but not limited to competitions, new courses, and special projects.
 - Foster communication and coordination between community, existing partners, and key faculty and staff at college.
 
 
 7. GRADUATE CAREER SERVICES
 - Advise all graduate students on all aspects of career development and career advancement through individual career coaching appointments, mock interviews, salary negotiation etc.
 - Manage College of Business graduate resources in the recruiting database, Handshake
 - Meet with students in one-on-one capacity to provide feedback on professional resumes, cover letters, and job search.
 - Collect and manage employment data for all grad programs
 
 Additional Duties:

- Works with all members of the college to achieve the goals and objectives for the College of Business.
- Other duties as assigned.

Minimum Qualifications

- Minimum Master degree. 
- Minimum 5 years experience in admissions or higher education.
- Minimum 5 years experience working with CRM systems, university records management, or marketing.
- Proficiency with word processing, database management, spreadsheet applications, statistical software, and report management.
- Proficient in the use of Microsoft Word, Excel, PowerPoint and database management.
- Ability to edit, design, and proofread material.
- Initiative, imagination, and organizational skills.
- Excellent clerical and phone skills.
- Ability to communicate effectively verbally and in writing to individuals and groups of prospective students, alumni, current students, administrators, and faculty.
- Ability to perform detail-oriented tasks and manage multiple assignments at once.
- Must be able to work independently and take initiative in a dynamic and innovative workspace.
- Must have impeccable presentation skills and professional demeanor, and be able to interact/network in various professional settings within the local business community.
- Ability to develop congenial and productive working relationships with Loyola administrators, faculty, staff, students, and alumni.

- Regular office hours for this position are from 8:45 AM to 4:45 PM and may include irregular hours and weekends as necessary. 

Preferred Qualifications:
- Experience engaging with international student populations or global partners .
- Experience working with a globally based team  working across time zones around the world.
