Position Overview
Bridge Philanthropic Consulting (BPC) seeks a highly skilled and proactive Executive Assistant to provide direct, high-level support to the Chief Executive Officer (CEO). This individual will serve as a trusted partner, ensuring the CEO’s priorities, communications, and commitments are executed seamlessly. The ideal candidate is exceptionally organized, detail-oriented, and able to anticipate needs, manage competing priorities, and maintain discretion in a fast-paced, dynamic environment.
Key Responsibilities
- Serve as a strategic liaison between the CEO and internal/external stakeholders, ensuring smooth operations and effective communication across the organization.
- Manage and maintain the CEO’s calendar, coordinating complex schedules, meetings, and travel arrangements with precision and discretion.
- Act as a gatekeeper, prioritizing requests and declining or delegating meetings as appropriate to protect the CEO’s time.
- Partner with the CEO to track, manage, and execute key action items, ensuring timely follow-through and accountability.
- Support the coordination and preparation of Partner and leadership meetings, including agenda development, logistics, and follow-up actions.
- Maintain and update client and contact databases (including Constant Contact) to ensure consistent communication and engagement.
- Draft, edit, and prepare a range of professional correspondence, including emails, reports, briefings, and presentations.
- Assist with travel planning, expense management, and monthly reporting.
- Provide administrative and operational support for CEO-led accounts, projects, and initiatives.
- Manage upward effectively, ensuring the CEO remains focused on top priorities and well-prepared for upcoming engagements.
Qualifications & Skills
- 5+ years of experience providing executive-level administrative support, preferably to a CEO or senior executive.
- Exceptional written and verbal communication skills, with the ability to represent the CEO and organization professionally.
- Demonstrated ability to manage multiple priorities, handle sensitive information with discretion, and operate effectively under pressure.
- Strong organizational and time management skills with meticulous attention to detail.
- High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with CRM tools such as Constant Contact or similar.
- Strong interpersonal and influencing skills; able to build relationships at all levels.
- Demonstrated resilience and adaptability in managing changing priorities.
- Must be available during standard business hours.
- Ability to successfully pass a background check.
