Job Description:
The Administrative Assistant in the Automotive Sales Department supports the sales team by managing administrative tasks, coordinating schedules, handling customer communications, and ensuring smooth day-to-day operations. This role requires a detail-oriented, organized individual who can thrive in a fast-paced environment and provide excellent support to both the sales team and dealership clients.
Key Responsibilities:
Serve as the first point of contact for customers and vendors—by phone, email, or in person.
Maintain and update customer records and sales databases (CRM tools, DMS systems).
Prepare sales documentation, including contracts, invoices, and title paperwork.
Assist in scheduling test drives, customer appointments, and team meetings.
Manage inventory updates and sales reports for management.
Coordinate vehicle delivery logistics and post-sale documentation.
Order office and dealership supplies as needed.
Support digital marketing efforts (vehicle listings, social media postings, etc.).
Assist sales staff with administrative support to meet monthly sales goals.
Maintain confidentiality of customer and company information at all times.
Qualifications:
1-2 years of administrative experience; experience in an automotive dealership is a plus.
Strong organizational and multitasking skills.
Excellent communication skills (verbal and written).
Proficiency in MS Office Suite (Excel, Word, Outlook).
Familiarity with dealership management systems.
Ability to work in a fast-paced, team-oriented environment.
- Valid driver's license and clean driving record.
