Position Summary

The Commercial Loan Operations professional plays a dual role in managing both the front-end processing and back-end closing functions for commercial real estate loans. This position is ideal for a highly organized and adaptable individual who can coordinate seamlessly across departments, ensuring a smooth loan lifecycle from initial application through funding and post-closing.

This position provides flexibility as the organization evaluates and refines its loan operations structure. The individual will perform duties from both the loan processor/coordinator and loan closer roles to support the team and ensure continuity of service to borrowers, brokers, and internal stakeholders.

Key Responsibilities

Loan Processing & Coordination

  • Review loan applications and collect all required documentation from borrowers and brokers.
  • Input and maintain data in the loan origination system (Salesforce).
  • Order third-party reports including title, insurance, and appraisals; review for completeness.
  • Ensure accuracy and completeness of files prior to underwriting review.
  • Support underwriting with document validation and credit memo preparation.

Closing & Funding

  • Manage the post-approval loan process from underwriting sign-off through funding.
  • Coordinate closing timelines with borrowers, brokers, legal counsel, and title companies.
  • Review and validate due diligence items including title, surveys, UCCs, and insurance compliance.
  • Facilitate the drafting and execution of legal documents in partnership with external counsel.
  • Coordinate wire funding and confirm delivery of final closing packages.

Pipeline & Communication

  • Provide consistent and proactive updates to internal teams and external parties.
  • Maintain notes and loan status updates in Salesforce and loan systems.
  • Escalate issues or delays to management as needed.

Post-Closing & Quality Control

  • Clear documentation or collateral exceptions after booking.
  • Support ongoing servicing needs such as renewals, extensions, or modifications.
  • Ensure files are audit-ready and organized for retention and review.

Continuous Improvement

  • Participate in the refinement of workflows and department structure.
  • Provide feedback on tools, systems, and procedures to enhance operational efficiency.

Requirements

Qualifications & Experience

  • 2–4 years of experience in commercial loan operations, processing, or closing.
  • Knowledge of commercial real estate loan documentation and closing requirements.
  • Experience coordinating with title companies, legal counsel, and third-party vendors.
  • Strong communication, organization, and multitasking skills.
  • High proficiency in Microsoft Office Suite; Salesforce and LendingWise experience preferred.
  • Bachelor’s degree or equivalent experience in finance, business, or legal fields preferred.
