The job of a Compliance Assistant is a highly focused position to ensure a service oriented and professional working environment by conducting various department reporting and monitoring the telephonic communications of Potential New Client (PNC) calls. Must have ability to communicate professionally with all levels of personnel in the firm. A Compliance Assistant must have a background in customer service. The Compliance Assistant will ensure that all policies and procedures are met when running reports or monitoring PNC calls. The goal is to ensure the high quality of our operations and services aiming to the long-term success of our business and customer satisfaction.

Primary Job Responsibilities:
- Strong knowledge and experience in working with Excel Microsoft program for data reporting.
- Must be able to maintain an elevated level of confidentiality.
- Motivating and inspiring the team to surpass expectations.
- Improving the team and facilitating communication among the members of the team.
- Reporting, monitoring, organizing, and updating Managers on a day-to-day basis.
- Ensure calls monitored are handled in a customer-focused manner.
- Monitor and evaluate PNC calls for quality assurance.
- Assist Managers in providing feedback and positive reinforcement
- Communicate findings with managers on a daily basis
- Report to the manager periodically on team and individual work accomplishments, problems, progress in mastering tasks and work processes, as well as individual and team training needs.
- Coach, facilitate, solve work problems, and participate in the work of the team.
- Appraise PNC requirements and make sure they are satisfied.
- Facilitate proactive solutions by collecting and analyzing data.
- Keep records of reports, statistical reviews and relevant documentation.
- Monitor and improve telephone handling and other procedures.
- Evaluate performance with key metrics (accuracy, call-waiting time etc.)

Education/Experience:
- Four-year college degree is preferred. High school diploma or GED required
- Ability to abide by confidentiality requirements when working with sensitive information, results, and communications required
- Ability to communicate effectively through written and verbal methods preferred.
- Ability to accomplish work within required timelines, including short, long, and emergency timeframes preferred
- Demonstrated ability to problem solve, exhibit high level of energy, openness to change, and ability to flex in a fast paced, executive setting.
- Proficient in Microsoft Office (Word, Excel and PowerPoint)
- Experience with Salesforce software or other CRM systems
- Experience with a variety of office equipment
- Must have a valid driver’s license and good driving record
- Spanish bilingual

Work Environment

Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday. This position will generally keep weekday, daytime hours, though some overtime or extended hours may be necessary. Schedule will be determined by the department manager.
Travel
No travel is expected for this position with exception of travel between office buildings for delivery of records or files.
