Halifax Regional Municipality is inviting applications for the one (1) permanent, full-time position of Statistics Clerk in Records, Halifax Regional Police.

The Statistics Clerk is responsible for compiling statistics for Halifax Regional Police and Statistics Canada, as mandated by legal requirements, while at all times respecting the confidential nature of the position.  This is an extremely demanding position.  It takes approximately six weeks to complete one month’s statistics at this time.

DUTIES AND RESPONSIBILITIES
Preparation of monthly statistics
  • Prepares a monthly statistics report for Statistics Canada.
  • Reads all incidents on Versadex for the month and verifies the information.
  • Runs in-house Canadian Centre for Justice Statistics (CCJS) Edit Report and makes corrections before submitting to Ottawa.
  • Updates screens relating to completed Adult Diversion and Restorative Justice matters as this affects STATS.
  • Updates known offenders (KO’S) regarding Adult Diversion and Restorative Justice.
  • Makes corrections to incident reports on Edit List forwarded to Ottawa.
  • Builds stats for the month when coding is complete.
  • Makes corrections to incident reports on the Edit List forwarded by Statistics Canada.
  • Contact- National Training and Liaison Officer Policing Service Program, Canada Centre for Justice Statistics – IT for HRP regarding New Bills passed by Parliament affecting new or deleted STATS Codes and effective dates.
Other related duties as required
  • Sends Homicide Surveys to Police Officers for completion/sending to Ottawa
  • Answering inquiries from Statistics Canada regarding monthly and year-end STATS and Homicide Surveys.
  • Participates in phone conferences with STATS Canada.
  • Additions/deletions/modifications to incidents as requested by officers/court personnel.
  • Contacting officers with regard to information necessary to complete incident files and questions concerning STATS codes.
  • Responding to inquiries by Crime Analysts.
  • Daily Master Name Index (MNI) mashing in the Person Maintenance category.
  • Mashing MNI files for court personnel as requested for Cell Matters.
  • Assists with the purging of files according to the retention schedule.
  • Absolute/Conditional Discharge – Update the General Occurrence file (GO) to remove from Police Information Portal (PIP).
  • Prepares and delivers info for Block Training for Police Officers regarding STATS.
  • Monitors/Audits the Young Offenders Non-Disclosure list weekly ensuring accuracy.
  • Monitors/Audits the Unknown names on the MNI (Master Name Index) Person Maintenance category.
  • Assists Records Management Clerks as required.
QUALIFICATIONS
Education/Experience
  • Grade 12
  • Office administration or Business diploma from a recognized educational institution
  • A suitable combination of education and experience may be considered
  • Experience in a police environment
  • Experience in federal statistic reporting, an asset.
Technical/Job Specific Knowledge:
  • Knowledge of the Criminal Code of Canada as well as Provincial and Municipal Statutes.
  • Knowledge of the Canadian Centre for Justice Statistics reporting.
Security Clearance Requirements:  Candidates being considered for the position of Statistics Clerk must successfully meet the security clearance requirements administered by Halifax Regional Police.

Please note - Testing may be conducted as a component of the selection process to assess technical and job specific knowledge. Candidates who are selected for testing, may be tested in a group setting, scheduled at the employer’s discretion.

WORK STATUS:  Permanent, full-time. This is an NSGEU Local 222 bargaining unit.

HOURS OF WORK: Hours of work are Monday – Friday, 8:30 a.m. – 4:30 p.m. (35 hours per week), in an office environment.

SALARY: $28.41 per hour as per the Agreement between the Halifax Regional Municipality and the Nova Scotia Government Employees Union Local 222.

WORK LOCATION: 2 Chapman Street, Dartmouth, NS. Work location can be changed according to operational requirements.
