Position Summary
Thinkery is seeking a mission-driven, highly organized and composed Board & Campaign Coordinator who is comfortable and experienced with engaging with executive-level leaders internally and externally. This role is central to the smooth functioning of our governance and fundraising efforts, ensuring that meetings, communications, and materials are timely, thoughtful, and aligned with Thinkery’s mission to inspire learning through play. The ideal candidate is proactive, a strong communicator, detail-oriented, and thrives in a collaborative, fast-paced environment. No task is too big or too small. They bring a passion for community impact and a commitment to excellence in service of our staff, volunteers, and donors. The Board & Campaign Coordinator reports directly to the CEO with dotted-line reporting responsibilities to the Chief Advancement Officer.
Key Responsibilities
Board & Committee Support
- Partner with the CEO and committee staff liaisons to coordinate all aspects of Board and Committee operations, including meeting logistics, materials preparation, and follow-up.
- Lead the annual planning and setup process for Board and Committee structures, calendars, and documentation.
- Assist committee liaisons to document annual work plans for each committee.
- Schedule and manage logistics for all Board and Committee meetings, including social gatherings.
- Develop and refine presentation materials, including slide decks and reports, for meetings and ongoing updates.
- Attend and document Board and Committee meetings, capturing key actions, decisions, and votes; maintain organized records and ensure compliance with governance standards.
- Draft and distribute action items and follow-up communications after each meeting to ensure accountability and momentum.
- Coordinate individual meetings between leadership and Board/Committee members as requested.
Campaign Coordination
- Support the Chief Advancement Officer in managing the day-to-day operations of Thinkery’s capital campaign.
- Schedule meetings with campaign committee members, consultants, donors, and prospects, ensuring prioritization, timely follow-up, and clear communication.
- Prepare customized meeting decks, donor profiles, and prospect reports to support campaign strategy and engagement.
- Record donor interactions and meeting notes, accurately enter moves management data into the CRM system.
- Generate campaign progress reports for internal and external stakeholders, including the Executive Team, Board, and campaign volunteers.
- Draft initial communications to donors, prospects, and volunteer fundraisers, including thank-you notes, updates, and invitations.
- Provide on-site support for campaign-related tours, cultivation events, and donor engagement activities.
Executive Team Coordination
- Assist in scheduling and preparing for Executive Leadership Team meetings and other org-wide meetings, including agenda development and material distribution.
- Attend meetings as needed to take notes and track action items, ensuring timely follow-up and documentation.
- Manage conference room supplies and calendar.

Education and Experience:
- 3–4 years of experience in nonprofit administration, executive support, fundraising coordination, or related roles.
- Brings confidence and thoughtfulness to personal interactions with exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills, with the ability to draft professional level correspondence and reports for board members and external stakeholders.
- Ability to manage multiple priorities and meet deadlines in a dynamic environment.
- Proficiency with Microsoft Office Suite and CRM systems (Salesforce preferred).
- Discretion and professionalism in handling sensitive information.

Physical Demands:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position is largely stationary. While performing the duties of this job, the employee is required to:
- Observe and react to the needs of guests, staff, volunteers, donors, and community partners.
- Move throughout the museum when on-site.
- Occasionally manipulate and move office supplies and equipment components weighing up to 15 pounds, including those that may be low to the ground or above eye level.
- Communicate and exchange accurate information with guests, staff, volunteers, donors, and community partners in a variety of formats including in-person, electronically, and over the phone.
- Detect and respond to safety hazards.
- Operate standard office equipment efficiently and accurately.
