Summary
The Conference Services Sr Manager is responsible for the planning, coordination, and execution of in-office events held in our DLA Piper NYO conference room. This role will have oversight of our receptionists and work closely with operations to improve our approach to utilizing technology in relation to our events and meetings. Produce events that maintain DLA Piper’s reputation as a world-class provider.

Location
This position is located in our New York office and offers a hybrid work schedule.
Responsibilities
Oversee all pre-event, onsite, and post-event logistical operations.
Manage centralized calendar, event execution, onsite support, training operations staff on best practices and implementation, vendor sourcing and quality assurance ensuring all events reflect DLA Piper’s standards and brand.
Manage and utilize the CVENT platform to create invitations, build registration pages and microsites, manage attendee lists and profiles, create reports, and update and maintain data pre and post event.
Set standards for providing “white glove service” to the firm’s lawyers and professional staff, as well as firm clients and business partners.
Build the tools needed to support our lawyers and upskill our talent to include building and maintaining a list of preferred restaurants for off-site events, developing checklists for client service, and developing an intake process to ensure smooth integration of IT, catering and support for in-office meetings and events.
Works closely with other members of the events team, marketing department, IT team and the local operations team ensuring all event and meeting details (set up, AV, and catering) are confirmed in advance.

Ability to handle multiple meetings simultaneously and work efficiently under pressure in a fast-paced environment; produce high level events that reach our top-tier clients; and demonstrate high quality client service while maintaining a pleasant demeanor in stressful situations. Solid negotiating skills in order to achieve high level goals while staying within budget parameters for each event. Knowledge of event technologies and how to leverage technology to enhance the attendee journey. Ability to identify and implement strategies for collecting relevant data to drive future decision making. Must be detail oriented; demonstrate an ability to run multiple projects simultaneously and prioritize and delegate effectively; be a self-starter who is able to work with minimal supervision; and have good interpersonal skills and possess the ability to work with many different personalities.
Must possess solid project management skills and be capable of working well under pressure and quickly adapting to change in a fast-paced, deadline-driven environment. Excellent communication skills and professional appearance, demeanor and work ethic are required. Prior management experience that demonstrates an ability to create a client service model and influence others is essential.
Flexibility to work long hours as needed. Candidates must possess solid project management skills and must be capable of working well under pressure and quickly adapting to change in a fast-paced, deadline-driven environment. Proven track record of building and scaling client service models and toolkits. Extensive experience working with IT and operations in prior roles to produce high impact meetings.
This position sits in our New York office and requires in-office presence a minimum of four days/week. At times, we may lean on this individual to also support or align and equip support for smaller off-site events in the NY market.
Minimum Education
Bachelor’s degree in Marketing, Communications, or related field.
Certificates
Experience with Cvent management software, CRM Systems and CMP certification is preferred.
Minimum Years of Experience
6 years’ experience in a professional/corporate meeting planning or meeting management position.

Physical Demands
Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
Work Environment
The individual selected for this position may have the opportunity for a hybrid work arrangement comprised of remote and in-office work, the requirement for which will be determined in coordination with the hiring manager or supervisor and may be modified in the firm’s discretion in the future.

The firm’s expected hiring range for this position is $146,352 - $193,920 per year depending on the candidate’s geographic market location.
The compensation offered for employment will also be dependent on other factors including the candidate’s experience, skills, educational and professional background, and overall qualifications. We offer a comprehensive package of benefits including medical/dental/vision insurance, and 401(k).
