We are seeking an experienced and motivated Office Coordinator with experience in Pediatrics and Orthodontics to lead our team and ensure smooth daily operations.
Position Overview:
The Office Manager is responsible for overseeing all operations of the practice, including patient scheduling, staff management, billing/collections, financial and administrative functions, and maintaining a positive culture that reflects our mission of compassionate, family-centered care. This role is ideal for a leader with dental office experience who enjoys building relationships, driving efficiency, and supporting team and practice growth.
Key Responsibilities:
- Manage day-to-day office operations to ensure efficiency and exceptional patient experience.
- Supervise, train, and support front desk and administrative staff.
- Oversee patient scheduling, case acceptance, treatment plan coordination, and insurance verification.
- Monitor KPIs including production, collections, case acceptance, and scheduling efficiency.
- Partner with doctors and clinical staff to align on practice goals and priorities.
- Lead all billing functions, including insurance claims, collections, accounts receivable management, and patient statements, ensuring accuracy and timeliness.
- Handle financial functions such as deposits, reporting, and reconciliation.
- Manage HR functions including onboarding, performance feedback, and team development.
- Coordinate patient communications, marketing initiatives, and community outreach events.
- Ensure compliance with HIPAA and other regulatory standards.
- Serve as the main point of contact for patients, families, staff, and external partners.
Requirements
Qualifications:
- 3+ years of dental office management experience (pediatric/orthodontic experience strongly preferred).
- Strong leadership skills with the ability to motivate and develop a team.
- Proficiency in dental practice management software.
- Hands-on billing and collections experience, with a solid understanding of insurance processes and revenue cycle management.
- Excellent organizational, communication, and problem-solving skills.
