JOB OVERVIEW

Job Description

The Target Hiring Range for this position is: $61,290-$65,000

The Senate Sergeant at Arms is seeking an Appointment Desk Specialist. The Appointment Desk Specialist registers, checks-in, and badges Official Business Visitors (OBV’s) for meetings/appointments primarily in the Capitol complex and the Capitol Visitors Center. Additional duties include answering scheduling questions for guests arriving to visit Senators and Senate staff, monitoring event room capacities and coordinating guest lists with Senate offices. Ideal candidates possess sound judgment, excellent customer service skills, with the ability to communicate clearly and concisely.

Key Accountabilities/Essential Job Duties
Serves as internal security checkpoint for all visitors to the Capitol complex, issuing badges to visitors after verifying appointment and identification; receives and distributes packages and official communications for restricted areas of the Senate. Maintains daily schedule of Senate meeting rooms in the Capitol Complex; answers scheduling questions for guests arriving to see Senators and Senate staff; coordinates guest lists with Senate offices; monitors event room capacities and access. Manages flow of official visitors to Committee hearings held in the Capitol. Clears and issues passes to visitors to Senate media galleries. Acts as information resource for guests, Senators, Representatives, visiting dignitaries and staff in person, via email, and by telephone. Other duties as assigned.

JOB SPECIFICATIONS

Required Education
Bachelor’s degree.

Required Work Experience

  • 1-3 years of customer service/receptionist experience, preferably in an environment where security is of the highest importance.

Required Special Skills/ Knowledge

  • Working knowledge of Microsoft Teams, Microsoft Word, and Excel.
  • Must possess or be able to obtain a CPR/AED certification upon hire or within the first three months.

Working Conditions

  • Work is performed in open, public environment and is essentially sedentary with occasional walking, standing, bending and exposure to noise associated with the constant flow of visitors.
  • Since this position requires onsite presence in support of the U.S. Senate when in session, this position requires the employee to be available and prepared to work during government shutdowns, in inclement weather, on holidays, and during late night, overnight, and weekend sessions. In the context of government furloughs, this position is considered excepted.
  • This position directly supports essential services of the U.S. Senate. As such, this position requires the employee be available and prepared to work during government shutdowns, in inclement weather, on holidays, weekends, and during late nights to ensure essential services to the Senate continue without interruption. In the context of government furloughs, this position is considered excepted.

 CONDITIONS OF EMPLOYMENT

To be employed by a Senate employing office in a paid position in the continental United States an individual must:
1. Be a U.S. citizen;
2. Be lawfully admitted for permanent residence and seeking citizenship as outlined in 8 U.S.C. § 1324b(a)(3)(B);
3. Be (i) admitted as a refugee under 8 U.S.C. § 1157 or granted asylum under 8 U.S.C. § 1158 and (ii) have filed a declaration of intention to become a lawful permanent resident and then a citizen when eligible; or
4. Owe allegiance to the U.S. (i.e., qualify as a non-citizen U.S. national under federal law).

Employment is contingent on background / security investigation results.
