Position Summary: The Gift Processing Specialist is responsible for detailed entry of Good Neighbor Energy Fund (GNEF) and payroll processing, into the constituent relationship management (CRM) system through a variety of electronic tools and processes. The position also provides back up for the Gift Processing Specialist. This role works across the organization to support the Philanthropy, Finance, and Operations and will serve as a primary contact for donor database accuracy and reporting. Utilizing various procedures, processes, and innovative technological tools, this position ensures the entry of donor gifts adhere to donor intent and entered in a timely, accurate manner.
Duties and Responsibilities
Pledge Processing
- Processes and maintains records and documentation of all GNEF gifts, pledges and donor-related transactions as well as processing payroll deductions in the donor database. Serves as back up for the Gift Processing Specialist.
- Produces timely and accurate acknowledgement of gifts: printing of letters, envelopes, and reminders from the donor database.
- Responsible for data integrity and cleanup of the donor database, returned mail, etc.
- Responsible for entering new constituent records as well as updating existing ones in the donor database.
- Manage tracking and accountability for all envelopes and transactions.
Agency Database
- Confirm 501(c)(3) status of new designated agencies at time of data entry and resolves any unidentified or ineligible designations with donor.
- Maintain database of not-for-profit agency information and verifications of eligibility status and ensures they are currently active for receipt and distribution of donor designations.
- Maintain and update the CRM database for accuracy of agency contact information: name changes, mergers, and closures.
Donor Database Management
- Develop and generate regular and ad hoc reports on campaign progress, mailing lists, and other needs.
- Assist as needed with duplicate records and correct errors in data input of records.
- Update records with new donor preferences and contact information, per pledge forms.
- Assist with building E-Pledge sites and running reports when needed.
- Records all account information per pledge forms with accuracy.
Personalized Equity Journey
- Develop and implement a personalized, individual equity growth plan to establish and track competency baselines.
- Participate in annual equity training.
- Support UWRI JEDI initiatives (e.g., Equity Challenge) and participating/supporting agency groups (e.g., Heritage and Professionals, Employee Resource Groups (ERGs) and Culture, Equity and Strengths Committee (CES)).
- Participate in community, state or national (e.g., United Way Worldwide) JEDI growth opportunities.
