We are seeking a reliable and detail-oriented Part-Time Payroll & Accounting Assistant to provide administrative and operational support to the Payroll & 401(k) Plan Specialist and Accounting management. This role is ideal for someone with strong organizational skills, a basic understanding of payroll processes, and a desire to learn and grow in a dynamic environment. You’ll play a key role in ensuring smooth payroll operations and retirement plan administration while maintaining confidentiality and accuracy.

Key Responsibilities:
Payroll & Data Support:
- Serve as a backup to the payroll specialist
- Assist in collecting, verifying, and organizing employee timesheets and PTO records
- Support data entry for payroll processing, including wage adjustments, deductions, and benefits
- Help prepare payroll journal entries and departmental coding under supervision
- Assist payroll specialist to maintain and update employee payroll records
- Respond to routine employee and supervisor inquiries regarding payroll, timesheets, schedules, retirement plan basics, etc.
- Assist in preparing training resources for supervisors and employees and in providing training to supervisors and employees
Retirement Plan & Compliance Assistance:
- Assist in reconciling 401(k) contributions and participant data between payroll and retirement systems
- Help prepare reports and documentation for audits and compliance filings
- Stay informed of basic payroll and benefits regulations and assist in implementing updates
Accounting Support:
- Assist Controller and CFO as needed with audits, compliance, and various research assignments
- Other projects and duties as assigned by the Controller or CFO
Systems & Process Support:
- Assist in maintaining payroll software records and performing routine system checks
- Help identify and implement process improvements to enhance payroll efficiency
- Help maintain documentation and updates to payroll and retirement plan procedures
Qualifications
- Payroll certification or some relevant college courses preferred
- Prior experience in payroll, accounting, or relevant administrative support
- Familiarity with payroll systems (UKG or similar) is a plus
- Strong ability to maintain confidentiality and discretion with sensitive information
- Excellent communication skills (written and verbal)
- Proficiency in Microsoft Excel and basic accounting principles
- Bilingual in Spanish a plus
