We are seeking a highly organized and dependable Administrative Assistant to provide vital support to our Safety (HSSE) and Facilities Maintenance teams in a fast-paced manufacturing environment. This position plays a key role in ensuring compliance, scheduling, document control, and supporting safety and maintenance initiatives across the organization.
Key Responsibilities
Safety Administration
Maintain and organize documentation for the company’s Workers’ Compensation program
Assist in preparing HSSE safety reports for regulatory agencies
Manage third-party compliance platforms
Update policies, procedures, and metrics for HSSE programs
Support the delivery and documentation of employee safety training
Provide comprehensive administrative support to the HSSE team
Facilities Maintenance Support
Assist the Facilities Maintenance Manager with the Maintenance Management System
Schedule maintenance activities, review work requests, and input data accurately
Support development and reporting of maintenance metrics
Maintain organized files for the Facilities Maintenance team
General Administrative Duties
Order and track office supplies as needed
Schedule meetings, coordinate lunches, and support team events
Maintain professionalism and confidentiality in all communications
Perform additional administrative tasks as assigned
Qualifications
Required:
5–7 years of experience in office management or administration
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Strong organizational and multitasking skills
Excellent written and verbal communication
High level of attention to detail
Ability to work independently with minimal supervision
Professional demeanor and strong interpersonal skills
Exceptional attendance and punctuality
Comfortable using standard office equipment
Work Environment & Schedule
Monday to Friday | 7:00 AM – 4:00 PM
On-site role in a manufacturing facility
