LOCATION: S. Los Angeles

JOB SUMMARY: Responsible for managing the daily activities of medical clinic staff and the administrative aspects of the day-to-day operations of the clinic.

ACCOUNTABLE TO: Chief Executive Officer

JOB DUTIES: Responsible for supporting the work of providers and supervising clinic operations, including the following:

1. Oversee daily clinic operations, including patient flow, scheduling, and staff assignments.

2. Implement and maintain clinic policies and procedures to ensure smooth operations and compliance with regulatory requirements.

3. Coordinate with medical and administrative staff to ensure efficient patient care delivery.

4. Supervise and provide leadership to all clinical staff.

5. Assist with recruiting, onboarding, training, and evaluating staff.

6. Maintain accurate and up-to-date records, reports, and documentation related to clinic performance and patient outcomes.

7. Regularly report to senior leadership on clinic performance, financial status, and any other key metrics.

8. Prepare OSPHD and other reports.

9. Ensure the clinic complies with all applicable local, state, and federal regulations.

10. Prepare and coordinate audits.

11. Ensure quality control procedures are followed for medical and administrative services.

12. Oversee clinic budget, including managing expenses and ensuring cost-effective operations.

13. Review and approve invoices and ensure accurate billing and insurance claims.

14. Monitor revenue cycles and work with billing departments to optimize reimbursement rates and collections.

15. Ensure clinic compliance including, but not limited to, programs, paperwork, provider notes, calibration, fire code, HIPPA regulations and licensing.

16. Responsible for the approval of time sheets for employees, scheduling, and in ensuring all non-exempt employees are appropriately taking breaks and lunch meals.

17. Responsible for any cash transactions and mail for the clinic.

18. Responsible for ensuring that productivity goals are met and for the preparation of weekly productivity reports.

19. Responsible for ordering office supplies and medical supplies, including but not limited to vaccinations and medications.

20. Responsible for delegating prescription refill tasks to the appropriate staff.

21. Ensure exceptional patient care by overseeing scheduling, patient interactions, and follow-ups.

22. Resolve patient complaints or concerns in a timely and professional manner.

23. Monitor patient satisfaction through feedback and surveys and implement improvements as necessary.

24. Consistently demonstrate and uphold CCCHC’s principle of providing quality health and human services to the medically underserved and low-income populations in a culturally sensitive manner.

25. Punctuality and Attendance: This is an essential job duty for CCCHC’s employees given the impact on patients.

26. All other duties, as assigned.

  • Required to know, follow and enforce safe work practices, and be aware of company policies and procedures related to job safety, including safety rules and regulations.
  • Required to have knowledge of CHDP guidelines, Immunizations schedule and AAP periodicity table.
  • Reliable transportation, automobile insurance, and a valid CA Driver License.

Education and Experience Requirements

  • High School or GED, required.
  • Bilingual in English/Spanish required.
  • Medical Assistant Diploma required.
  • Four years of experience working in a FQHC organization preferred.
