About the Department

This class's purpose is to perform advanced level duties in maintaining data and student finance records for assigned College departments or divisions and manage student finance accounts to improve student outreach, communication, and retention.  The position supervises program staff.

Position Duties

Master's degree in Data Analytics, Finance, Accounting or Business Management and three (3) years of experience analyzing accounts receivables, performing data analysis and preparing summary reports. Higher Education experience preferred. Must have proficiency in Microsoft applications. Familiarity with PowerBi analytics and visualizations is a plus. One year of supervisory experience preferred.

Minimum Qualifications

  1. Manage report preparation, data analytics, and training of college personnel using student information systems (e.g., Banner), Excel tools, customer relationship management system, and PowerBI platforms.  
  2. Prepare, analyze, and disseminate data lists for student outreach and communications. 
  3. Prepare various financial reports and summaries for executive leadership. 
  4. Develop and manage the monitoring processes and communication of student account balances using the customer relationship management system and student formation system.  
  5. Mange and prepare outreach and communications calendars, schedules and reports for student finance outreach and customer service specialists. 
  6. Work directly with department heads and school deans to conduct effective outreach to students. 
  7. Utilize intermediate skills in Excel and PowerBi visualizations to extract data.  
  8. Manage staff virtual calendars, scheduling, and appointment availability for students via the customer relationship management system. 
  9. Demonstrate consistent courtesy, tact, professionalism, and possess strong customer service skills when communicating with students and college constituents.
  10. Directly supervises, provides leadership, orientation, and training, coaching, and mentoring to departmental staff.
  11. Participates in the recruiting and hiring as well as disciplining and evaluating employee’s performance.

Other Qualifications

1. Prepare monthly, quarterly, and annual reports and data analytics on all student accounts and meet regularly with department heads and school leaders to review statistics and key performance indicators that support student success and retention.     
2. Conduct data analysis on targeted student populations and coordinate planning with Sr. Director of Business Operations and Director of Student Finance.
3. Conduct daily management and review of PowerBI dashboards and prepare data lists and reports for distribution.
4. Manage CRM development and communications, appointment scheduling, holds management, campaign management, and event planning for student outreach. 5.Manage data sharing and departmental partnerships and outreach with Admissions, Advising, Enrollment Services, and New Student Orientation.
6. Contribute to new development of and advance existing data models in PowerBi in coordination with Planning, Research and Evalution Analysts. 
7. Direct a team of student account, customer service, and outreach specialists and assistants to manage data for call campaigns and CRM outreach. 
8. Utilize Banner student information system in conjunction with additional data management tools.
9. Perform research and analysis as requested by senior management including trend analyses and budget variance analyses.
10. Review student accounts in detail and analyze activity with student payments.
11. Work with data analytics team to assimilate information into reporting models.
12. Analyze enrollment data, trends, and demographics to communicate influences on retention.
13. Coordinate new student event participation for Fall and Spring terms.
14. Monitor event planning calendars and identify opportunities to engage the student populations with promotional events to support student knowledge of tuition payment options.
15. Monitor and manage the use of the staff calendars and both in-person and virtual appointment scheduling. to ensure proper outreach and timely communications to staff departments and students. 
16. Build microsites and utilize magic links and tokens to support personalized outreach about events, past due balances, and other content.
17. Build and manage outreach campaigns in CRM and plan automated workflows for student communications.
18. Monitor enrollment funnel, early student applications, and yield to enrollment and work with onboarding departments to educate and communicate information about student pay options.
19. Utilize Microsoft Excel to analyze and visualize data, using VLOOKUP, pivot tables, and conditional formatting.
20. Continuously advocate for and update data information stored and retrieved from CRM for data analytics assessment and placement in PowerBI.
