Anticipated Secretary II   -    Building: Grant Middle School

 

The position of a secretary at Harding is now open. Please note the job description is attached. This is a 10 month– 220 days at 8 hours per day total of 1760 hours per year position as per salary schedule.

JOB DESCRIPTION - CLASSIFIED

 

TITLE:                                               Secretary to Principal

 

RESPONSIBLE TO:                            Building Principal

 

DEPARTMENT:                                  Secretarial/Clerical

 

CLASSIFICATION:                            Secretarial/Clerical

 

POSITION:                                       Group II

 

LENGTH OF CONTRACT:                   Ten-month contract - 220 days at 8 hours per day -                                                                                                             total of 1760 hours per year

 

 

GENERAL DUTIES:                           

Provides clerical and secretarial services to the Principal and to other professional members of the                                          staff as directed by the Principal. It should be noted that good typing skills and                                                                  computer literacy skills are essential requirements for this position.

 

SPECIFIC DUTIES:

 

  • Will be responsible for coordinating attendance services.
  • computerize class registers according to Principal’s direction.
  • Prepares record forms for new students and transfer or withdrawal forms as directed by the Principal.
  • Answers phone and takes messages.
  • Does general typing and filing for the building administrators.
  • Assists teachers in operating office machines.
  • Serves as a courteous and pleasant receptionist to the staff and visitors in the building.
  • Maintains established office hours.
  • Administers Rx medicine, (with doctor/parent permission slip) and first aid treatment.
  • Keeps such records and makes such reports as the Principal may require, including but not limited to, list of substitute teachers and overtime records.
  • Receives and distributes mail.
  • Assists Principal with inventories of supplies, material and equipment.
  • computerize classroom inventories.
  • Types purchase orders for classroom supplies material and equipment.
  • Types purchase orders for teacher supplies.
  • Checks in supplies as directed by Principal.
  • Strives to establish and maintain desirable community relations.
  • Prepares PTO notices or other items for school related functions at the direction of the Principal and in such manner as to avoid interference with routine schoolwork.
  • Serves as clerk-custodian of all funds received at the school to which assigned. Deposits all school board money with the Treasurer of the Board. Handles non-board funds according to prescribed methods.
  • Keeps strictly confidential all information regarding students, parents and faculty.
  • Prepares payroll reports.
  • Uses Power School or other student software data bases to generate documents and reports
  • Coordinates purchasing for the building including entering purchase orders, preparing budget spreadsheets, invoicing and ordering, and securing vendors. 
  • Performs other duties as assigned by the Principal or, in his/her absence, by his/her designee or the Assistant Superintendent, Director of Operations, or the Superintendent.
