About the role:
As a Client Service Associate, you will play a key role in supporting both our clients and advisors, ensuring seamless operations and delivering exceptional client experiences. Key responsibilities include handling client onboarding and paperwork, preparing and coordinating meetings, managing scheduling and logistics, maintaining accurate records, and serving as a trusted point of contact for both clients and internal team members. This role is a cornerstone of our client experience, helping build strong relationships while keeping the practice running smoothly.
Key Responsibilities
· Answer and direct phone calls and emails.
· Manage calendars, schedule meetings, and arrange appointments for team members.
· Coordinate travel arrangements and logistics for business travel.
· Prepare, draft, and edit documents, reports, and presentations.
· Maintain organized filing systems, both physical and electronic, including databases.
· Ensure documents are accurate, accessible, and stored securely.
· Oversee office operations and manage inventory of office supplies.
· Act as a central point of contact for internal teams and external clients.
· Assist with bookkeeping, expense tracking, and budget management.
· Provide support to team members with various tasks and initiatives.
· Collaborate with other departments to ensure effective communication and workflow.
· Help implement new programs, systems, and procedures.
Requirements
Experience & Qualifications
· Strong multi-tasking and time-management abilities to keep the team on track.
· Excellent written and verbal communication to handle correspondence and engage with clients, internal stakeholders, and external partners.
· Competency using CRMs, financial planning systems, and Microsoft Office Suite, plus a knack for mastering new technology.
· A sharp eye for accuracy in documents, schedules, and data management.
· The ability to handle confidential and sensitive client information with utmost professionalism and integrity.
