Production Coordinator (Programming Department)
Overview
The purpose of this role is to provide project management of shoots and projects within the Programming Department. This person will act as the bridge between the executive producer/producers and internal clients, as well as external partners such as talent agencies, vendors, and select crew members.
Essential Duties & Responsibilities

Book travel logistics (flights, hotels, rental vehicles, etc.) for shoots.

Coordinate craft services and/or catering for shoots.

Obtain crew as needed for shoots (PAs, makeup artists, wardrobe, art directors—excluding all non-camera, lighting, and grip crew).

Partner with producers on all aspects of shoots.

Coordinate with ITM Facilities for in-house shoot needs.

Collaborate with Workplace Systems for production-related logistics.

Work with talent agencies and assist producers in procuring talent for spots/stories.

Create, manage, and distribute call sheets.

Attend all project meetings and shoots as needed, providing on-site and/or office support.

Retrieve talent, crew, and equipment invoices post-shoot.

Support post-project objectives, ensuring all final stories/spots are uploaded to Cantemo with correct file names and metadata.

Handle final scripts, archiving them to the shared drive for editors and international use.

Assist in budget actualizations once shoots/projects are complete.

Work Schedule

In-office: Tuesday, Wednesday, and Thursday

Remote option: Monday and Friday (most weeks)

Flexibility required for shoots, travel, weekends, and occasional overnights

Ideal Qualifications

College degree in communications, film, or TV production

3–5 years of production experience (preferably in a similar role)

Strong interpersonal skills; able to work effectively with diverse personalities and backgrounds

Highly organized with strong attention to detail

Working knowledge of Microsoft Office Suite (including TEAMS); budgeting software knowledge such as Showbiz, Movie Magic, or Gorilla a plus
