Summary: Assists Director of Engineering, Assistant Director of Engineering, Manager or Supervisors in coordinating and organizing all aspects of the department, while providing administrative support with day-to-day activities.

Essential Duties and Responsibilities: Include the following. Other duties may be assigned to the role by the Director of Engineering

 

Schedule: Typically, Monday – Friday, but may be changed based on the needs of the department.

 

  • Provides administrative support to Director, Assistant Director, Manager, Supervisors as directed to provide administrative assistance including scheduling meetings, managing calendars, and handling correspondence.
  • Manage department payroll reporting and distribution and alert the director and management team of concerns or inconsistencies. Pay roll must be completed on time and accurately.
  • Maintain engineering documents, records, contracts including drawings, specifications, and technical reports. Ensure proper version control and document storage. Maintain ‘As Built” master drawing sets I Engineering Folder for quick access. These are not limited to Architectures, mechanical, Structural, electrical, plumbing. Civil engineering. Maintain copies of of all master construction submittal documents. Maintain all occupancy permits.
  • Enters work orders in to the tracking system for reporting purposes. These reports must be complete by the 3rd of each month.
  • Assists in coordinating engineering projects by tracking timelines, milestones, and deliverables. Help organize project meetings and prepare meeting agendas and minutes and any other task requested by the director.
  • Screen incoming calls and greets public (guests, vendors, etc.) and fellow employees in a helpful friendly way.
  • Maintain vendor relationships, both internal and external.
  • Assists in budget preparation and disseminations of weekly, daily and monthly department budget reports. Assist in monitoring project budgets and expenditures and alert the director for anomalies. Prepare reports on budget status and variance analysis as required. Prepare critiques for all GL’s over budget working with the director for plans and actions for the month.
  • Ensure all maintenance contracts are updated annually with current COI, and W9’s. Prepare master contract list. Contract list must show Vendor name, contact info. 
  • Assist in procurement activities such as preparing purchase requisitions, obtaining quotes from vendors per the direction of the engineering management team, and tracking orders for engineering materials and equipment. Preform general office duties such as maintaining records on all database systems.
  • Facilitate communication between engineering teams and other departments or external stakeholders. Ensure that information flows effectively within the organization and all communications must be approved by the director prior to being sent out.
  • Works closely with the Accounting to ensure accurate and on-time reporting.
  • Open, sort and distribute incoming correspondence, including faxes and email.
  • Prepares various correspondence and spreadsheets requested by the director.
  • Arrange staff meetings by issuing information and taking and distributing minutes. These meetings will be directed by the director of engineering for dates and times.
  • Provide a guest experience that exceeds the guests’ expectations.
  • Supports Telluride Ski & Golf service, safety and sustainability initiatives provided by the Director.
  • Adheres to Telluride Ski & Golf policies and procedures.
  • Knowledge of and adheres to Skier Responsibility Code and Colorado Skier Safety Act.

 

Qualifications:

Education and/or Experience:                   

Associate's degree (A. A.) or equivalent from two-year college or technical school and/or six months to one-year related experience.

Language Skills:                   

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals, OSHA regulations, NFPA regulations.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills:                   

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:                   

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills:                   

To perform this job successfully, an individual should have knowledge of engineering principles and terminology. Must understand and be able to work with the following software’s Microsoft Outlook, Power point, Visio, Excel, Word, Team’s, Project Team, Taleo, Blue Beam, CAD, Microsoft Explorer Internet software; basic understanding of Payroll systems; As well as invoicing systems such as Laserfiche, experience with timekeeping systems and point of sale systems helpful (Kronos and RTP preferred)

  • Must be detailed oriented 
  • Must be able to operate a 2-way radio
  • Must be able to work weekends and holidays
  • Must be able to function effectively at elevations of 10,000 feet or higher
  • Engineering Admin/Coordinator experience a must

PLEASE NOTE: THERE IS NO EMPLOYEE HOUSING AVAILABLE FOR THIS POSITION 

The wage range for this position is $25.00-$30.00/hr DOE
