Summary
The Corporate Quality Data Specialist is responsible for managing customer portals, fulfilling requests from customers and the sales team, and maintaining supplier verification documentation. This role ensures accurate and timely communication across internal departments and external partners, while upholding compliance standards and documentation integrity. With a need to be detail-oriented, self-motivated, and capable of navigating multiple systems and platforms to support operational efficiency and regulatory compliance.
Duties & Responsibilities
Customer Portal Management
• Maintain and update customer portals with required documentation, certifications, and product specifications.
• Ensure timely responses to customer inquiries and requests.
Supplier Compliance Documentation
• Collect, verify, and maintain supplier documentation including COAs, allergen statements, third-party audits, and regulatory certifications.
• Ensure all records are current and compliant with internal and external standards.
Sales & Customer Support
• Respond to documentation and information requests from the sales team and customers.
• Coordinate with internal departments to gather necessary data and ensure prompt delivery.
System & Data Management
• Utilize ERP systems and document control platforms to manage compliance records.
• Ensure data accuracy and consistency across systems.
Regulatory Compliance
• Support compliance with food safety regulations such as FSMA, SQF, HACCP, and GMP.
• Assist in audits and regulatory reviews by providing accurate documentation.
Cross-Functional Collaboration
• Work closely with Quality Assurance, Procurement, Supply Chain, and Customer Service teams to ensure alignment on compliance and documentation processes.
Continuous Improvement
• Identify opportunities to streamline documentation workflows and improve portal management efficiency.
Qualifications
Education & Experience
• Associate’s or Bachelor’s degree in Business Administration, Supply Chain, Food Science, or a related field preferred.
• 2+ years of experience in a compliance, supply chain, customer service, or administrative role—preferably in food manufacturing or dairy processing.
Technical Skills
• Proficiency in Microsoft Office Suite and ERP systems (e.g., SAP, JD Edwards, NetSuite).
• Experience with supplier verification platforms (e.g., TraceGains, SupplyShift).
• Familiarity with customer portal systems and document control tools.
Knowledge & Compliance
• Understanding of food safety regulations (e.g., FSMA, SQF, HACCP, GMP).
• Knowledge of supplier qualification and documentation requirements in the dairy industry.
Soft Skills
• Strong attention to detail and organizational skills.
• Excellent written and verbal communication.
• Ability to manage multiple priorities and meet deadlines.
• Collaborative mindset with a proactive approach to problem-solving.
Physical Requirements
• Ability to sit or stand for extended periods while working at a computer.
• Manual dexterity to operate office equipment such as computers, printers, and scanners.
• Occasional walking through production areas, which may involve exposure to temperature variations, humidity, and manufacturing noise.
• Ability to lift and carry files, binders, or boxes weighing up to 25 pounds.
• Visual acuity to read and review documents, spreadsheets, and portal interfaces.
• Ability to wear required personal protective equipment (PPE) when entering production or warehouse areas (e.g., hairnets, safety glasses, hearing protection).
