This position performs diverse secretarial, technical, and administrative tasks that require extensive knowledge of office procedures, various departmental assessments, and the understanding of permitting processes and requirements. Independent judgment is vital when assisting customers, as well as the initiative to learn and provide assistance within the framework of established administrative principles, policies, practices, and regulations. Exercising significant tact and courtesy when interacting with applicants and the public is essential in this position. Depending on the assigned area, this position may be required to process payments by cash, check or credit card by following established payment handling procedures. Works under the general direction of the immediate supervisor.
Position Duties
- Performs a variety of complex clerical and administrative tasks including operating general office equipment such as computers & associated peripherals, copy machines, scanners, and voice recording equipment.
- Ability to maintain and update logs, files, and records with a high degree of accuracy.
- Ability to prepare correspondence and reports.
- Ability to effectively communicate, both verbally and in writing.
- Ability to research documents.
- Performs other related duties and tasks as necessary or as assigned
Minimum Qualifications
Education and Experience:
High School diploma/GED supplemented by three (3) years of related applicable experience or an equivalent combination of formal education and related applicable working experience.
License, Certifications or Registrations:
None
Knowledge, Abilities and Skills:
Ability to easily use Microsoft Word, Excel, a personal computer, and various computer programs.
Knowledge and practice of organizational and time management skills.
Ability to type with accuracy.
Ability to exercise analytical judgment in areas of responsibility.
Ability to identify problems or situations as they occur and respond appropriately.
Ability to identify alternative solutions to problems or situations.
Ability to implement decisions in accordance with prescribed and effective policies and procedures and with a minimum of errors.
Ability to seek expert or experienced advice and researches problems, situations, and alternatives before exercising judgment.
Ability to understand and interpret complex oral and written instructions, documents, and programs.
Ability to plan and organize daily work routine, including establishing priorities for the completion of work in accordance with sound time management methodology.
Ability to attend meetings, planning sessions, and discussions on time, including implementing work activity in accordance with priorities and estimated schedules.
Ability to maintain a calendar for meetings, deadlines, and events.
Ability to interact effectively and tactfully with the public and staff and to establish working relationships with other employees and the public.
Ability to maintain an enthusiastic, self-reliant, and self-starting approach to meet job responsibilities and accountability, including striving to complete work with a minimum level of supervision and instruction.
Ability to lift up to 25 lbs.
