Job Overview:

The Administrative Assistant is responsible for supporting the AWT department by assisting with employee travel arrangements and facilitating various office operations. This position requires strong organizational skills, attention to detail, and a professional demeanor when interacting with customers and vendors.


Duties/Responsibilities:

  • Manage travel arrangements for department employees, ensuring all logistics are handled efficiently.
  • Maintain detailed travel records and assist with travel-related inquiries.
  • Answer and direct phone calls in a professional manner.
  • Organize and schedule appointments.
  • Provide general support to visitors, ensuring a welcoming environment.
  • Print shipping labels for department products
  • Draft purchase requisitions for products as needed.
  • Collaborate with Purchasing and external vendors to process purchase orders.
  • Review and analyze Samsara footage, escalating issues as necessary.
  • Manage inventory of all AWT chemical tanks to ensure they are adequately stocked.
  • Oversee safety training for the department and report progress to the manager.
  • Collect invoices and receipts, working with Accounts Payable to ensure accurate processing.
  • Assist with additional tasks and duties as assigned 


Requirements

Required Skills/Abilities:

  • Excellent verbal and written communication skills. 
  • Proficiency in online booking tools and expense management software.
  • Ability to work collaboratively across departments.
  • Knowledge of procurement processes and vendor management is a plus.
  • Excellent organizational skills and attention to detail
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) or related software.

Education and Experience:

  • High School Diploma or equivalent required.
  • 2- or 4-year degree preferred
  • Previous experience in an administrative role is a plus.
